Full Job Description

Job Summary:

We are seeking a reliable, organized, and detail-oriented Administrative Office Staff member to support the daily operations of our office. The ideal candidate will be responsible for providing administrative support, maintaining organized records, assisting customers and vendors, and ensuring the office runs efficiently. Strong communication skills, professionalism, and the ability to multitask are essential.

Key Responsibilities

Answer and direct incoming phone calls and emails.
Greet clients, tenants, vendors, and visitors in a professional manner.
Prepare, organize, and maintain office files and records.
Schedule appointments, meetings, and coordinate office calendars.
Draft letters, notices, reports, and other business correspondence.
Assist with data entry and maintain accurate databases.
Order and maintain office supplies and equipment.
Coordinate with vendors, contractors, and service providers.
Assist with tenant communications and lease documentation (if applicable).
Maintain confidentiality of company and client information.
Support management with special projects and other administrative duties as assigned.

Qualifications

High school diploma or GED required; Associate's degree preferred.
Previous administrative or office experience preferred.
Proficiency in Microsoft Office (Word, Excel, Outlook).
Strong written and verbal communication skills.
Strong organizational and time management abilities.
Ability to prioritize tasks and work independently.
Professional attitude and excellent customer service skills.
Attention to detail and accuracy.
Ability to maintain confidentiality.

Preferred Skills

Experience with QuickBooks or other accounting software.
Knowledge of property management software (preferred but not required).
Experience handling invoices, billing, or accounts payable/receivable.
Bilingual (English/Spanish) is a plus.

Pay: $17.00 - $20.00 per hour
