JOB DESCRIPTION

Job Title: Intern Program Assistant

Reports to: Intern Engagement and Team Support Coordinator

Classification: Hourly Full-Time (Non-Exempt)

Background

AIMS is a non-profit organization that supports playful, imaginative, creative, human-centered, and socially-informed approaches to teaching and learning mathematics and science, and policies and practices that are culturally-relevant and transformative for our Central Valley. With over 30 years of experience in PK-12 STEAM education, AIMS helps educators design rich and engaging learning environments, provides resources to communities and families, and bridges research and practice with community events and research fellowships.

Position Summary

The Intern Program Assistant works under the direction of the Intern Engagement and Team Support Coordinator to support AIMS internships, programs, and events. This role assists with intern schedules, assignments, and communication while supporting the planning and execution of educational, community, and organizational events. Using tools such as Monday.com and Google Workspace, the Assistant helps organize workflows, assists with materials, and helps ensure tasks are completed accurately and on time.

Duties & Responsibilities

The essential functions (i.e., the fundamental job duties of the position) are as follows:

Intern Program Support

Assist with weekly intern schedules, assignments, and communications
Support timesheet tracking, attendance records, schedule changes, and leave requests
Assist coordinator with assigning and prioritizing intern tasks in collaboration with project and office management teams
Support tracking of task completion and provide updates to coordinator
Maintain accurate intern records and scheduling information
Support intern onboarding, training logistics, and orientation activities as needed

Materials Management

Support material usage related to educational programs, events, and internal operations
Track project and materials workflows using Monday.com and other organizational tools to support task completion across intern teams
Update workflows and dashboards as directed to prioritize intern tasks for efficiency; support intern teams to prioritize, store, distribute, and return event materials
Direct questions to appropriate staff and assist with gathering information as needed

Events & Logistics Support

Support event logistics, staffing, materials, and setup needs for educational programs and community events
Assist with event registration, communication, scheduling, and participant support
Help prepare intern assignments for events and special projects
Support event setup, operation, and breakdown
Track event supplies and ensure materials are prepared and available
Assist with post-event follow-up and documentation

Skills and Qualifications

The following qualifications are required for this position:

Associate's degree or equivalent combination of education and relevant work experience
Strong attention to detail and the ability to carry out complex instructions accurately and efficiently
Strong organizational, materials management, and inventory tracking skills
Effective time management skills, including the ability to manage multiple priorities, projects, and deadlines simultaneously
Strong verbal and written communication skills in the English language, including active listening, collaboration, asking clarifying questions, providing clear instructions, and giving and receiving constructive feedback
Intermediate proficiency with computer applications, including Microsoft Word and Excel, Google Workspace (Drive, Docs, Sheets, Forms, and Calendar), and communication and project management tools such as Slack, Monday.com, and Zoom
Strong interpersonal skills with the ability to interact professionally and positively with interns, staff, educators, families, and community partners
Ability to work independently while also contributing effectively as part of a collaborative team
Ability to adapt to changing priorities and support multiple projects in a fast-paced environment

Preferred Qualifications

Demonstrated ability to work effectively with college students, interns, volunteers, or young professionals
Experience coordinating, organizing, and preparing materials and supplies for educational programs, events, or projects, preferably in educational, nonprofit, youth-serving, or informal STEAM environments
Experience supporting internships, volunteer programs, educational programs, or workforce development initiatives

While performing the duties of this position, the employee is regularly required to stand, walk, sit, and use hands for clerical duties and keyboarding. The employee is occasionally required to reach with hands and arms, stoop, and kneel. The employee must regularly lift and/or move up to 25 pounds and occasionally lift and/or move up to 40 pounds. Specific vision abilities required by this position include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus. Sufficient hearing and visual acuity are required for telephone and in-person communication, computer work, and reading printed materials.

Work environment characteristics include:

Indoor office and educational environments with light to moderate noise levels
Occasional travel to meetings, programs, and events
Occasional evening and weekend work to support events, trainings, and special programs
