Sales Administrator

ROLE SUMMARY

The Sales Administrator is a key member of the Sales team responsible for supporting the day-to-day operations that create an exceptional client experience. This role serves as the administrative foundation of the department by ensuring customer information is accurate, inquiries are routed efficiently, orders are processed with precision, and internal systems remain organized.

Success in this role requires exceptional attention to detail, strong organizational skills, polished written and verbal communication skills, and a proactive mindset. As one of the first points of contact for many clients, the Sales Administrator is expected to deliver concierge-level service and naturally adopt Hennepin Made's brand voice, ensuring every interaction reflects the professionalism, warmth, and sophistication our clients expect.

KEY RESPONSIBILITIESSales Administration & Operations

Process customer quotes, sales orders, and web orders accurately and efficiently.
Support the Sales team with administrative tasks related to active projects and customer accounts.
Maintain accurate customer and prospect records within NetSuite and CRM systems.
Assist with sales reporting, documentation, and system maintenance as assigned.
Ensure sales records remain current, organized, and reliable.

Client Support & Communication

Serve as a professional first point of contact for incoming sales inquiries via phone, email, website submissions, and showroom visitors.
Route inquiries to the appropriate team members while ensuring a timely and seamless client experience.
Coordinate showroom appointments and maintain appointment calendars.
Deliver a concierge-level client experience by responding with professionalism, empathy, and a solutions-oriented mindset.
Communicate using Hennepin Made's established brand voice, ensuring all written and verbal interactions are polished, thoughtful, and aligned with our commitment to exceptional service.
Recognize that every client interaction should reflect the craftsmanship and attention to detail found in every Hennepin Made fixture.

Order & Project Coordination

Support order entry and documentation throughout the sales process.
Assist with customer follow-up and project coordination as directed by the Sales team.
Communicate effectively with internal departments to ensure accurate information and smooth project execution.
Help maintain organized workflows that support timely project completion.

CRM & Data Management

Research and qualify prospective customers within the architecture, interior design, and building industries.
Maintain accurate CRM data to support sales activities and reporting.
Monitor data quality and recommend corrections when inconsistencies are identified.
Support the integrity of sales systems through consistent data entry and maintenance.

Collaboration & Team Support

Partner with Sales, Marketing, Production, and Leadership to support company initiatives.
Demonstrate flexibility by supporting additional projects and responsibilities as business needs evolve.
Contribute to a positive, collaborative culture while embracing continuous learning and process improvement.

QUALIFICATIONS

1–3 years of administrative, customer service, sales support, hospitality, or office experience preferred.
Exceptional written and verbal communication skills with the ability to adapt tone and messaging to reflect Hennepin Made's luxury brand and client experience standards.
Strong proofreading skills with exceptional attention to grammar, spelling, formatting, and detail.
Ability to communicate confidently and professionally across email, phone, and in-person interactions.
Strong organizational skills with the ability to manage multiple priorities while maintaining accuracy.
Proficiency with Microsoft Office or Google Workspace; experience with NetSuite, CRM systems, Asana, or Adobe is a plus.
Positive attitude, strong work ethic, intellectual curiosity, and a willingness to learn.
Ability to work collaboratively while also managing responsibilities independently.

COMPENSATION & BENEFITS

Full-time position (Monday–Friday, standard business hours)
Salary commensurate with experience
Benefits eligibility after 60 days
Bonus eligibility after 90 days
