Full Job Description

Position Summary:

The Licensing Approvals Coordinator plays a key role in managing licensing submissions and approvals from concept through production. Acting as the primary liaison between licensors, third-party representatives, and internal departments, this individual ensures seamless communication and efficient processing across all licensing activities. This role is critical to maintaining brand integrity and compliance across our licensed product lines.

Key Responsibilities:

Oversee the full lifecycle of licensing approvals—from concept sketches through TOP (Top of Production) samples—for assigned licenses.
Collaborate with internal teams to collect and submit all necessary documentation on schedule.
Track license expiration dates and proactively initiate renewal processes.
Maintain accurate and up-to-date licensing information in databases, portals, and project management tools (e.g., Smart Sheets); provide regular status updates to cross-functional teams.
Develop and nurture strong relationships with licensors to facilitate smooth approvals and foster trust in the Goodie and Whatever brands.
Provide timely, accurate documentation to support internal and external audits.
Partner with Sales, Creative, and Production teams to address and resolve compliance concerns related to licensed products.
Manage licensor asset libraries—receive, organize, and update asset files as needed (add new assets, remove expired content).
Verify Intellectual Property (IP) eligibility for distribution channels.
Maintain and update Smart Sheets with contractual rights, licensor changes, and other key data points.
Create and manage Licensor & Royalty Codes within our internal system.
Serve as the point of contact for all cross-departmental communication related to managed licenses.
Create and maintain a “Do's & Don’ts” guide for each assigned license, ensuring clarity and compliance across teams.
Other responsibilities to be added as needed.

Requirements:

Previous experience in Licensing or Project Management
A college degree or equivalent experience.
Demonstrated experience coordinating multiple submission timelines in a fast-paced environment.
Familiarity with consumer product approval systems (e.g., Media Box) is preferred.
Experience navigating intellectual property constraints and contractual terms.
Ability to interact and communicate effectively with others
Strong attention to detail and accuracy
Self-motivated, self-starter, energetic
Strong Microsoft Office skills with emphasis on Excel and PowerPoint
Willingness and ability to handle hands-on tasks such as unpacking, packing, and shipping product samples

Pay: $25.00 - $30.00 per hour
