Virtual Assistant

Job Overview

Ian Knapper, an internationally-recognised master stonemason renowned for creating bespoke stone staircases and luxury fireplaces of exceptional quality, is seeking a highly organised and professional Virtual Assistant. This is a full-time, remote position for a candidate based in San Diego, California, United States. The successful candidate will provide comprehensive administrative support, ensuring the smooth and efficient operation of a business synonymous with high-end, one-of-a-kind designs. You will be a key part of a small team, supporting a world-class craftsman. This role offers a competitive hourly rate of $25 - $35 USD per hour.

Responsibilities

Manage and maintain calendars, schedule appointments, and coordinate meetings with high-profile clients and suppliers.
Handle email correspondence and client enquiries promptly and with the utmost professionalism.
Prepare, format, and edit documents, reports, and presentations for internal and external use.
Act as a first point of contact, liaising with clients, architects, and partners in a courteous and efficient manner.
Assist with basic project coordination, including tracking timelines and communicating updates.
Conduct research on suppliers, materials, and potential new business opportunities.
Provide general administrative support as required to ensure the seamless daily running of the business.
Uphold a high level of discretion and confidentiality at all times.

Qualifications

Proven experience as a Virtual Assistant, Personal Assistant, or in a relevant administrative role.
Exceptional organisational, planning, and time-management skills.
Outstanding written and verbal communication skills with a keen eye for detail.
High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace.
The ability to work independently, use initiative, and manage a varied workload in a remote setting.
A proactive and professional approach to problem-solving.
Experience supporting a creative professional, a luxury brand, or a business within the design or construction industry is highly desirable.
