At least two years of related experience required, preferably in a school environment

JOB OVERVIEW:

The school secretary plays a key role in support of the school. The person serves as a main point of communication in person, by mail, email, and telephone. This person is responsible for managing the flow of information/communication and is also responsible for keeping and maintaining many school records. He or she must be organized, responsible, and efficient. He or she must be familiar with all office equipment, computers, and computer programs for word processing, databases, spreadsheets, and email as well as faxing, copier, and others. Most important is the role of the school secretary as representative of the partnership between school, community, families, students, and staff. He or she must be flexible, personable, and able to communicate the school’s mission and vision, and possess the same core values that are part of the partnership school.

ESSENTIAL DUTIES & RESPONSIBILITIES:

The Receptionist is responsible for ensuring effective communication between school administrators, colleagues, parents, students, and community members. Work typically involves receiving and directing visitors, answering the telephone, directing calls, and responding to basic requests for information. This position deals with inquiries both on the phone and face-to-face. The Receptionist will also perform routine clerical tasks that support the school administration. Including but not limited to those listed below:

Greet all incoming visitors for the purpose of ensuring that guests sign in/out as required.
Answer all incoming calls and direct them to the appropriate department
Manage email messages
Attend to students who arrive to school late or must leave early
Update PowerSchool with changes in student’s information
Distribute mail to the appropriate parties on a daily basis
Assist with administrative tasks such as printing and stuffing envelopes for mass mailings
Successfully complete other duties as assigned

COMPETENCIES:

Act as a partnership school representative
Create and maintain a welcoming and efficient front office that emphasizes organization, professionalism, courtesy, flexibility, and teamwork
Greet and announce all school visitors appropriately Use proper telephone etiquette and direct all calls appropriately to school staff
Provide needed assistance and communicate effectively with principal and all school staff
Be attentive, patient, and fair with students Treat families as valued and respected customers Be knowledgeable about the school community; be familiar with the personnel, school board members, and/or surrounding district personnel Help with maintaining all school records, including student records, school schedule, student waitlist, attendance records, and school calendar
Receive and process records, send out records for all students who withdraw Process Social Security benefit requests from Dept of Labor & Industry Help with tracking and following up on student tardiness, excused, and unexcused absences and provide this information to the attendance office
Provide support of standard school operations including, but not limited to: student arrival and dismissal procedures (help with receiving the students in the morning and dismissal process and maintain the car pick up and busing procedures)
Follow safety and emergency procedures/guidelines Mail, email, fax, scan correspondence
Receive mail and distribute to proper destinations Receive and fill teacher supply request orders
Maintain inventory of supplies Work with WB Mason or another vendor to order supplies
Creation and distribution of mail and documents going home to families
Translate all documents and help with the translation during Family Teacher Conferences and with families as needed including phone calls, families in the office, and Special Education meetings
Assist with the process in the office (visitor procedures-signing in and out) Receive and process family concerns
Help and assist with change of address forms, emergency contacts, collecting or calling, texting, and emailing families to get documents needed for busing or changes of address.
Ability to remain calm, composed and flexible within a fast-paced, demanding environment
