Full Job Description

Job Summary

We are seeking a detail-oriented and proactive Bookkeeping Clerk to join our finance team. In this vital role, you will manage core accounting tasks, maintain accurate financial records, and support the organization’s financial health. Your expertise will help ensure compliance with accounting standards and facilitate smooth financial operations. This position offers an exciting opportunity to develop your accounting skills within a dynamic environment committed to excellence and integrity.

Responsibilities

Accounts Receivable (AR) & Payable (AP) Backup:

AP Processing: Enter PO and non-PO invoices into ERP system. For PO invoices, match with PO or receiving documents. For non-PO, ensure correct expense coding and job-costing.
AR Backup: Process customer invoices for service orders, parts orders, progress billing, etc. in ERP system. Enter customer payments correctly and timely. Generate AR aging reports and follow up with clients on past-due invoices.

Credit Card Management & Costing:

Expense Costing: Review and approve employee expense reports. Verify that all credit card charges have matching receipts and adhere to company travel and expense policies. For non-employee cards, ensure correct expense coding for charges with supporting receipts. Complete reconciliations in ERP, solving discrepancies with minimal assistance.
Card Administration: Assist with issuing corporate cards, updating limits, and resolving declined transactions. Schedule monthly credit card payments.

Bank Reconciliations:

Monthly: Reconcile bank statements against the general ledger within the ERP system when statements are released. Identify variances, unapplied cash, and duplicate entries and correct with minimal assistance.

Job Requirements:

To fulfill these tasks efficiently, a candidate typically needs:

Experience: 1–3 years of hands-on bookkeeping, AP/AR, or accounting assistant experience. Must have experience working with inventory management and a strong understanding of 3-way matching for vendor invoices. Experience working in government contracting a plus.
Technical Skills: Proficiency in ERP software (e.g., GovCon, SAP, Sage) and advanced spreadsheet capabilities in Microsoft Excel (e.g., XLOOKUP, pivot tables, data sorting). Expertise in Microsoft Office software (Outlook, Excel, Word, OneDrive, Teams). Must be able to type 45-50 WPM with 10-key proficiency of 8,000 – 10,000 KPH with an accuracy of 98%
Soft Skills: Strong attention to detail, analytical problem-solving skills, and the ability to maintain financial confidentiality. Ability to work in an office with other employees, respecting privacy and others’ focus. Maintain good hygiene.

Hours of Operation are Monday - Friday 8 am - 5 pm.
