Role: Staff Accountant & Administrative Coordinator

Job Type: Full Time

Schedule: On-site; Monday – Friday 8:00am – 5:00pm CST

Job Summary:

We are seeking a proactive, highly skilled Staff Accountant & Administrative Coordinator. The role will provide critical support to our Controller by taking ownership of day-to-day accounting operations, freeing leadership to focus on strategic financial management. The ideal candidate brings strong technical accounting skills – ideally a CPA or CPA candidate – paired with an analytical mindset, exceptional Excel proficiency, and genuine enthusiasm for making a meaningful impact in a small business environment. In addition to managing core accounting activities this role will also oversee office administration and sales support. This is a hands-on, high-visibility role for someone who takes pride in accuracy, works independently, and communicates across the organization. This is an opportunity to become a trusted partner in supporting the business’s financial health and organizational growth.

Key Responsibilities:

Accounts Payable & Receivable

· Process, code, and post all vendor invoices; manage payment runs and ensure timely reimbursement

· Reconcile AP and AR sub-ledgers to the general ledger on a regular basis

· Maintain vendor and customer records, including W-9’s, COI, and credit applications

General Ledger & Month-End Close

· Post journal entries, perform account reconciliations, and support monthly close process

· Reconciliation of bank statements, credit card accounts, and balance sheet accounts

· Assist with preparation of internal financial statements

· Support year-end close and assist with preparation of external audit or tax preparation

Sales & Use Tax Compliance

· Prepare and file monthly, quarterly, and annual sales and use tax returns across applicable jurisdictions

· Monitor and maintain customer tax exemption certification, ensure proper documentation and renewals

· Respond to state & local tax notices and assist with any sales tax audits

Sales Tracking & Revenue Reporting

· Record and track daily sales transactions, ensuring accuracy of revenue recognition

· Prepare and distribute regular sales reports

· Monitor sales margins and flag discrepancies or unusual trends for management review

· Assist in development of dashboards and reports using Excel and other tools

Technology & Processing Improvement

· Learn and become proficient in company ERP software and accounting software; assist with system improvements and process improvements

· Identify opportunities to streamline manual processes through technology

· Maintain and improve upon Excel-based models and financial tools

Administrative Coordinator Responsibilities

· Organize company records, contracts and filing systems

· Assist in answering incoming calls and emails

· Assist with HR administrative tasks, including benefits enrollment and payroll

· Provide administrative and operational support to the sales team to ensure efficient order processing and customer service

· Support the sales team by preparing quotes and coordinating with production and shipping

Qualifications:

The ideal candidate is intellectually curious, highly organized, possesses exceptional math and numerical skills, and is eager to develop deep familiarity with how a complex manufacturing business runs.
Exceptional in Microsoft Excel, Microsoft Office Applications, and QuickBooks
Ability to manage multiple priorities in a deadline driven environment and bring solutions
A proactive, flexible mindset with strong interpersonal skills – ability to be a team player

Education/Experience:

· Bachelor’s degree in accounting or finance

· 4+ years of accounting experience, preferably in manufacturing environment

· Experience with inventory, production costing, and cost of sales analysis

Compensation: $85,000 -$105,000 annual salary, based on experience
