Full Job Description

Department: Finance / Accounting
Reports to: VP of Finance and Operations

About the Role

We are a precision instrument manufacturer selling to universities, research hospitals, and contract research organizations (CROs) worldwide. We are looking for a detail-oriented Bookkeeper to own the day-to-day accounting operations of the business. This person keeps our books accurate and current in QuickBooks Online, manages the full cycle of payables and receivables, and serves as the financial point of contact for our institutional customers. The ideal candidate is organized, self-directed, and comfortable working in a product-based business with inventory and a sophisticated B2B customer base.

Key Responsibilities

Accounts Payable. Process the full AP cycle: receive and code vendor invoices, secure proper approvals, schedule and execute payment runs, and maintain clean, complete vendor records.
Accounts Receivable. Generate and issue customer invoices, apply incoming payments, and maintain an accurate accounts receivable aging.
General Ledger. Record general ledger journal entries in QuickBooks Online, including accruals, prepaids, reclassifications, and month-end adjusting entries.
Inventory Reconciliation. Reconcile received inventory against purchase orders and receiving documentation, then investigate and resolve quantity, pricing, or timing discrepancies.
Employee Expense Reports. Review, process, and approve employee expense reports for policy compliance, accurate account coding, and timely reimbursement.
Institutional Vendor Profiles. Establish and maintain the company's supplier and payment profiles within the procurement and AP portals of our institutional customers (universities, research hospitals, CROs). Keep banking details, tax documentation (W-9 and equivalents), insurance certificates, and compliance records current so that payments are never delayed by stale or incomplete vendor data.
Collections and Cash Flow. Track upcoming and overdue customer payments, proactively follow up with institutional accounts payable departments, resolve invoice and PO questions, and help ensure timely payment across all accounts.

Required Qualifications

3+ years of full-cycle bookkeeping experience, ideally in a product, manufacturing, or B2B environment.
Hands-on proficiency with QuickBooks Online.
Solid command of double-entry bookkeeping and full-cycle AP and AR.
Experience reconciling inventory or matching purchase orders, receipts, and invoices (three-way match).
Strong attention to detail, accuracy, and follow-through, with the ability to manage competing deadlines.
Clear, professional written and verbal communication for working with vendors and customer AP teams.

Preferred Qualifications

Familiarity with institutional, university, or government procurement and supplier portals (for example, SAP Ariba, Jaggaer, Coupa, or PaymentWorks).
Experience supporting a company that sells to research institutions, hospitals, or CROs.
Comfort with multi-currency or cross-border transactions.
Associate's or Bachelor's degree in Accounting, Finance, or a related field, or equivalent practical experience.

What Success Looks Like

Within the first 90 days, this person will have taken full ownership of the AP and AR cycles, established a reliable month-end close rhythm in QuickBooks Online, and brought our vendor profiles across institutional customer portals fully up to date so that receivables move through customer payment systems without friction.

Pay: $25.79 - $31.06 per hour
