Full Job Description

Advanced Research Institute is a dynamic clinical research facility dedicated to advancing healthcare through innovative studies. We are seeking a detail-oriented and motivated Accounting Specialist to support the day-to-day accounting operations of the organization. This position is responsible for accounts receivable, accounts payable, account reconciliations, fixed asset record maintenance, month-end accounting support, and ensuring the accuracy and integrity of financial records. The Accounting Specialist works closely with Finance, Operations, and Clinical Site teams to ensure timely billing, accurate financial information, efficient payment processing, and compliance with company policies and accounting procedures. This position offers opportunities for professional growth and expanded accounting responsibilities as the organization continues to grow.

Essential Duties & Responsibilities

Accounts Receivable

· Generate and distribute customer invoices accurately and timely.

· Monitor accounts receivable aging and proactively follow up on outstanding balances.

· Apply customer payments and research payment discrepancies.

· Reconcile customer accounts and resolve billing issues.

· Prepare accounts receivable aging reports for management review.

· Support cash application and revenue tracking processes.

· Maintain accurate customer billing records.

· Prepare and compile Work Performed documentation for review and payment processing.

Accounts Payable

· Process vendor invoices ensuring appropriate coding and approvals.

· Prepare weekly ACH, check, and wire payment runs.

· Reconcile vendor statements and resolve discrepancies.

· Maintain vendor files and supporting documentation.

· Monitor accounts payable aging to ensure timely payments.

· Assist with employee expense reports and corporate credit card reconciliations.

· Support annual Form 1099 reporting requirements.

General Accounting

· Perform monthly account reconciliations.

· Assist with month-end close activities.

· Research and resolve accounting discrepancies.

· Maintain accurate accounting records and supporting documentation.

· Maintain the company's fixed asset records, including additions, disposals, transfers, and supporting documentation.

· Support data integrity within accounting systems.

· Assist with ERP enhancements and continuous process improvement initiatives.

Attention to detail: You keep financial records accurate and organized.
GAAP: Working knowledge of Generally Accepted Accounting Principles (GAAP).
Organizational skills: Able to manage multiple tasks and deadlines efficiently.
Basic computer proficiency: Advanced Microsoft Excel Skills including PivotTables, XLOOKUP, SUMIFS, and data analysis.
Experience working withing ERP systems; NetSuite preferred.

Qualifications

Bachelor's degree in Accounting
2+ years of accounting, AP, AR, or related experience
Advanced Microsoft Excel skills
