Overview

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! This vital role combines essential bookkeeping responsibilities with administrative support to ensure the smooth operation of our office. The ideal candidate is energetic, highly organized, and possesses strong computer skills, with a passion for maintaining accurate financial records and providing exceptional customer service. This paid position offers an exciting opportunity to develop your administrative and bookkeeping expertise in a professional environment committed to growth and excellence. Payroll processing is a plus, yet not required.

Responsibilities

Manage day-to-day bookkeeping using QuickBooks, including invoicing, expense tracking, and bank reconciliations
Maintain accurate financial records through meticulous data entry and spreadsheet management
Handle front desk duties such as greeting visitors, answering multi-line phone systems, and managing client communication with professionalism and courtesy
Support office management tasks including filing, document proofreading, calendar management, and organizing office supplies
Assist with client communication via phone and email, providing excellent customer support and support for appointment scheduling
Coordinate with team members on administrative projects using productivity software such as Microsoft Office and Google Workspace
Ensure proper office etiquette, phone etiquette, and organizational procedures are consistently followed to enhance overall productivity

Experience

Prior clerical or administrative experience in an office setting is required; experience in medical or dental reception is a plus
Demonstrated proficiency in QuickBooks for bookkeeping tasks is essential
Strong computer literacy with expertise in Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry tools
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Bilingual abilities are highly valued to assist diverse client needs effectively
Experience managing multi-line phone systems, calendar scheduling, and client communication enhances your success in this role
Proven ability to maintain confidentiality while handling sensitive financial information and client details
