Job Summary
We are seeking a highly organized, detail-oriented Medical office Clinical Administrative Coordinator with 1-2 years minimum experience in this role before who thrives in a fast-paced environment and can support both administrative and light clinical workflows. Our team supports physicians, clinical staff, and case management partners to deliver efficient, high-quality care.
This vital role combines administrative expertise with clinical support, ensuring smooth daily operations and exceptional patient service. The ideal candidate will be proactive, organized, and passionate about delivering high-quality healthcare support.
Who will Succeed in this Role
This is not a basic front desk role.
This position is ideal for someone who can multitask across patient coordination, administrative processing, and operational support while maintaining accuracy and professionalism.
You will serve as a key connector between:
- Patients
- Caseworkers
- Clinical staff
- Administrative leadership
Duties
- Verify patient information and ensure required documentation is complete
Administrative & Documentation Support
- Scan, upload, and route patient documents to appropriate departments
- Ensure all forms are accurate and complete before submission
- Send documentation to:
- Caseworkers
- Main office
- External partners (labs, etc.)
- Maintain organized digital and physical records
Data Entry & Systems Management
- Enter and update patient data accurately in EMR (ECW) and internal systems
- Access and navigate multiple dashboards and reporting tools
- Generate and print reports, schedules, and documentation for staff
- Assist in tracking workflow and ensuring task completion
Operational & Team Support
- Support clinical and administrative staff with daily needs
- Assist with supply tracking and basic inventory awareness
- Identify and communicate workflow gaps or issues
- Help maintain smooth daily office and mobile unit operations
- Support front desk operations by greeting patients, managing filing systems, handling medical records requests, and performing clerical duties such as data entry and typing with high accuracy
- Answer and manage incoming calls (high volume at times)
- Schedule and coordinate appointments
- Greet and check in patients in a professional, welcoming manner
- Review documentation for completeness and accuracy,
Qualifications
- Proven experience in a medical office setting or healthcare environment with familiarity in clinic management or medical administrative support
- Minimum 1–2 years experience in Medical office, healthcare admin, or similar setting
- Strong organizational and multitasking skills
- High attention to detail (critical for this role)
- Comfortable with:
- Data entry
- Scanning and document management
- Multi-system navigation
- Professional communication skills (phone + in-person)
Preferred Qualification
- Experience with EMR systems (e.g., eClinicalWorks or similar)
- Experience working with case managers or coordinated care teams
- Familiarity with lab coordination (Quest, LabCorp, etc.)
- Background in multiple-site medical office, operations public health, mobile healthcare

Job Type: Full-time
Pay: $20.00 - $21.00 per hour
