Full Job Description

Job Overview

We are seeking a detail-oriented and organized Technical Writing / Administrative Support professional to join our team. This role is responsible for reviewing, editing, and finalizing technical inspection reports while ensuring timely completion to meet internal deadlines. In addition to technical report coordination, this position serves as backup support for the receptionist by assisting with front office operations and administrative tasks.

The ideal candidate is highly organized, adaptable, and able to manage multiple priorities in a fast-paced environment.

Duties

Technical Report Writing & Coordination

Review, edit, and finalize technical inspection reports submitted by field technicians.
Ensure a consistent flow of completed reports to meet established internal timelines.
Communicate with field technicians to clarify report details and provide support as needed.
Prioritize and reorganize workload based on changing business needs and deadlines.
Proofread all technical content for accuracy, consistency, and adherence to style guidelines
Maintain accurate documentation and report records.

Administrative & Reception Backup

Provide backup coverage for the receptionist as needed.
Manage internal job tracking and assist with workflow coordination.
Perform light calendar management.
Answer and direct calls using a multi-line phone system.
Assist with inventory tracking and office supply management.
Provide general administrative support to ensure smooth daily office operations.

Requirements

Excellent written communication, proofreading, and editing skills.
Proficiency in spreadsheet applications such as Microsoft Excel, Apple Numbers, or similar software.
Strong organizational and time management skills.
Skilled in graphic design software and Visio for creating diagrams and visual aids that complement textual content
Strong editing, proofreading, and technical editing skills to ensure high-quality deliverables
Exceptional communication skills in English to articulate technical concepts clearly and professionally
Professional communication and customer service skills.
Ability to work independently as well as collaboratively within a team.
Desired but not required: Familiarity with CAD software

Pay: $21.00 - $23.00 per hour
