Full Job Description

Bookkeeper / Office Manager

Puget Sound Instrument (PSI) is a growing technology company serving school districts, public agencies, healthcare organizations, industrial facilities, and businesses throughout Washington State.

We provide mission-critical communications, security, and operational technology systems that thousands of people rely on every day.

Although we're a small team, we operate more like a regional office of a much larger technology company. We work with advanced communications systems, enterprise-class technology, and customers that depend on us to get things right.

Technology is central to how we operate. PSI actively uses Microsoft 365, ChatGPT, AI-assisted workflows, and custom GPT-based business applications to improve efficiency, document processes, and support daily operations.

We're looking for a Bookkeeper / Office Manager who enjoys ownership, organization, technology, and being an essential part of a high-performing team.

Position Summary

This position combines bookkeeping, office management, customer support, and operational coordination in a technology-focused business environment.

You will be responsible for maintaining accurate bookkeeping records in QuickBooks Enterprise, supporting accounts payable and accounts receivable activities, working closely with PSI's external Controller and Fractional CFO, and helping ensure the office operates efficiently every day.

This is not an entry-level administrative position. The ideal candidate is organized, detail-oriented, dependable, technologically capable, and comfortable working independently.

Primary Responsibilities

Bookkeeping & Financial Administration

Maintain company financial records in QuickBooks Enterprise
Process accounts payable and vendor bill entry
Process accounts receivable, invoicing, and payment application
Enter and categorize bank and credit card transactions
Maintain customer and vendor records
Monitor open invoices and assist with collections activities
Organize financial documentation and supporting records
Prepare monthly documentation for Controller review
Assist with payroll-related administrative activities
Support month-end and year-end accounting processes

Office Operations

Answer and direct incoming telephone calls
Serve as a primary point of contact for customers, vendors, and visitors
Receive, ship, and track equipment and materials
Coordinate shipping documentation and carriers
Maintain organized digital and physical filing systems
Order office supplies and coordinate vendor services
Support leadership with administrative and operational projects
Identify opportunities to improve efficiency and business processes

Technology Requirements

The successful candidate must be comfortable learning and using:

QuickBooks Enterprise
Microsoft 365 (Outlook, Excel, Word, Teams)
Cloud-based business applications
ChatGPT and AI-assisted productivity tools
Custom GPT-based business applications developed by PSI

Previous AI experience is helpful but not required. A willingness to learn and adopt new technology is essential.

Required Qualifications

Minimum 3 years of bookkeeping experience
Minimum 3 years of QuickBooks experience
Experience with accounts payable and accounts receivable
Strong understanding of bookkeeping fundamentals
Proficiency with Microsoft 365
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to work independently with minimal supervision
Comfortable learning and utilizing AI tools and business automation technologies
Stable employment history demonstrating reliability and accountability

Preferred Qualifications

QuickBooks Enterprise experience
Small business experience
Experience supporting an external accountant, controller, or CPA firm
Experience with shipping and receiving operations
Experience in technology, telecommunications, construction, service, or project-based organizations
