Full Job Description

Overview
Join our small but mighty team as a Receptionist where your organization and communication skills will keep our office running smoothly and efficiently. This vital role involves managing all incoming and outgoing calls and correspondence, ensuring timely and accurate communication for the clients and claimants we serve. You will play a key role in making sure our projects run smoothly from start to finish from an administrative stand point.

Duties Include the Following:

Administrative Support

Answer and direct incoming phone calls, text messages and emails for the projects we manage in a professional and courteous manner.
Manage and respond to claimants via email and text message in a professional and timely manner.
Monitor shared phone lines, voicemail, email and communication queues, responding to routine inquiries and escalating issues as appropriate.
Demonstrated ability to handle confidential information discreetly while maintaining high levels of professionalism
Bilingual capabilities are a plus to support diverse communication needs

Case & Project Support

Prepare correspondence deficiency cure letters with guidance from Project Managers.
Assist with drafting declarations and supporting documentation.
Support Project Managers with administrative and case-related tasks as needed.
Input project deadlines, milestones, and important dates into Outlook calendars.
Conduct routine internal follow-ups regarding data requests, funding requirements, deadlines, and outstanding items.

Qualifications

High school diploma or equivalent required
1–3 years of administrative, correspondence, records management, or office support experience.
Strong attention to detail and organizational skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Experience with document scanning, electronic filing, and record management.
Ability to handle confidential information with discretion.
Strong time-management skills and ability to prioritize multiple tasks.

Preferred Qualifications

Customer Service experience managing high call volumes
Experience in legal administration, claims administration, or project support environments.
Familiarity with document management systems and case tracking processes.
Experience preparing professional correspondence and reports.
