Full Job Description

Title: Smartsheet Administrator

Location: Richmond, VA (Onsite)

Structure: Long Term Contract

Pay: 40-47/hr

Client: State-level government organization

Overview

Brooksource’s client is implementing Smartsheet as its project and portfolio management (PPM) tool and is seeking a Smartsheet Administrator to support the initial buildout and long-term ownership of the platform.

This person will play a key role in designing, configuring, and maintaining Smartsheet, while also supporting project tracking and coordination within the Program Management Office (PMO). This is a unique opportunity for someone who has hands-on Smartsheet experience and is interested in expanding into a more operational and project-focused role over time.

Key Responsibilities:

Own and administer the Smartsheet platform for the PMO, including user access, permissions, templates, and overall system governance
Lead the buildout and ongoing configuration of Smartsheet, including sheets, reports, dashboards, workspaces, and automated workflows
Serve as the primary owner of key Smartsheet capabilities, including Control Center, Dynamic View, forms, and portfolio-level toolsets
Support integrations and connected tools such as the JIRA Adapter, as well as resource and financial planning functionality
Support the implementation and rollout of Smartsheet, ensuring the platform is structured to support project and portfolio management needs
Continuously optimize the platform by automating workflows, improving reporting, and enhancing overall PMO efficiency
Act as the subject matter expert and primary point of contact for Smartsheet, troubleshooting issues and supporting end users
Support project intake processes, ensuring work requests are logged, tracked, and prioritized within Smartsheet
Assist with project setup, tracking, and coordination across a portfolio of initiatives, including scheduling and resource alignment
Ensure all projects are properly configured and aligned with PMO standards, processes, and compliance requirements
Maintain data integrity across the portfolio to support accurate, real-time reporting and decision-making
Build and maintain dashboards and portfolio-level reporting used by leadership
Conduct regular audits of projects within Smartsheet, ensuring accuracy, consistency, and adherence to established processes
Maintain and update documentation, including standard operating procedures (SOPs) and best practices
Stay up to date on Smartsheet features and enhancements, applying new capabilities to improve functionality and user experience

Required Qualifications

3+ years of hands-on experience with Smartsheet (administration and development)
Experience supporting a PMO, project management, or portfolio management environment
Proven experience building dashboards, reports, and automated workflows
Strong understanding of project tracking, reporting, and intake processes
Ability to gather requirements and translate them into functional solutions

Preferred Qualifications

Smartsheet certification (e.g., Architect or advanced level)
Experience with integrations (e.g., JIRA)
Familiarity with resource and capacity planning tools
Experience with Microsoft Office tools (Excel, Project, PowerPoint, etc.)
SharePoint experience is a plus

Ideal Candidate

Has hands-on experience building and managing Smartsheet solutions (not just using it)
Comfortable working closely with project managers and business stakeholders
Strong problem-solving and organizational skills
Interested in growing into a broader PMO or project coordination role over time
Able to balance technical configuration work with day-to-day operational support
