Position Summary:

The Accounts Receivable Specialist is responsible for managing the full accounts receivable lifecycle, with a primary focus on collections activity and payment application. This role ensures the timely collection of outstanding balances, accurate posting of payments, and maintenance of strong customer relationships. The Specialist works closely with internal teams, including Finance, Customer Service, and Sales, to resolve billing discrepancies and minimize Days Sales Outstanding (DSO).

Essential Activities:

Collections Management

Monitor and manage an assigned portfolio of customer accounts to ensure timely collection of outstanding invoices.
Initiate and conduct proactive outreach to customers via phone, email, and written correspondence to collect past-due balances.
Prioritize collection efforts based on account aging, balance thresholds, and risk level.
Escalate delinquent or high-risk accounts to management.
Document all collection activity, customer communications, and commitments to pay within the ERP/collections system.
Identify disputes and route them to the appropriate internal team for resolution while continuing to manage the overall account relationship.
Collaborate with the Customer Service team to resolve customer account issues without jeopardizing business relationships.

Payment Application

Post and apply daily cash receipts, including checks, ACH/EFT, wire transfers, and credit card payments, accurately and in a timely manner.
Match and apply payments to the correct invoices, credit memos, and customer accounts using remittance information provided by customers.
Research and resolve unapplied cash, short pays, and unidentified payments by coordinating with customers and internal departments.
Process customer deductions, chargebacks, and credits in accordance with company policy and contractual terms.
Reconcile daily cash receipts against bank deposits and system records to ensure accuracy.
Work closely with the Finance team to ensure month-end cash postings are complete and accurate.

Account Reconciliation and Reporting

Perform regular reconciliation of assigned customer accounts to ensure invoice and payment records are accurate and complete.
Investigate and resolve discrepancies between customer statements and internal records.
Prepare and distribute weekly and monthly AR aging reports, highlighting accounts requiring immediate attention.
Track and report key metrics including DSO and aging bucket trends.
Assist with month-end close activities.

Customer & Internal Relationship Management

Respond professionally and promptly to customer inquiries regarding invoices, statements, and account balances.
Issue and distribute customer statements and account summaries on a scheduled or on-demand basis.
Coordinate with the Billing team to ensure accurate and timely invoice generation.
Partner with Customer Service and Sales to resolve billing disputes and maintain customer satisfaction.
Onboard new customers into the AR system

Qualifications:

Experience

Minimum 2–3 years of experience in accounts receivable, collections, or a related finance/accounting role.
Demonstrated experience with high-volume payment application and cash posting.
Experience working with ERP systems (e.g., SAP, Oracle, NetSuite, Microsoft Dynamics) and collections management software.

Knowledge, Skills & Abilities

Strong knowledge of accounts receivable processes, general accounting principles, and credit/collections best practices.
Excellent verbal and written communication skills with the ability to negotiate effectively and maintain professional relationships.
High attention to detail with strong analytical and problem-solving skills.
Ability to manage a large portfolio of accounts and prioritize a heavy workload in a fast-paced environment.
Proficiency in Microsoft Excel (VLOOKUP, pivot tables, data reconciliation).
Ability to work independently and collaboratively across departments.
