Full Job Description

The Foundation for Sickle Cell Disease Research (FSCDR) is a growing healthcare organization supporting clinical care, research, education, and innovation for people living with sickle cell disease. We currently have 15 Sickle Cell Centers of Excellence across Florida.

We are looking for a highly organized, hands-on Grant Project and Quality Control Coordinator to help manage the daily administrative and coordination work connected to our grants and funded projects.

This is not a high-level strategy or consulting role. We need someone who is comfortable getting into the details: updating project trackers, scheduling meetings, taking notes, following up on overdue items, organizing grant documents, gathering information from multiple stakeholders, and making sure nothing falls through the cracks.

What you will do

Project tracking and follow-up

-Maintain grant work plans, deadlines, deliverables, and task lists in Smartsheet.
-Update project trackers after meetings and as work is completed.
-Follow up with team members and partners about missing or overdue items.
-Send deadline reminders and escalate delays when needed.
-Help leadership identify tasks that are at risk of falling behind.
-Keep multiple grant projects organized at the same time.

Grant Meeting coordination

-Schedule recurring and one-time meetings with internal staff and external partners.
-Help prepare simple agendas using information provided by project leadership.
-Attend meetings and take clear, detailed notes.
-Document decisions, action items, owners, and due dates.
-Distribute meeting notes promptly and follow up on open action items.

Grant documentation and reporting support

-Maintain organized smartsheet for each grant (the smartsheet is already set up)
-Collect documents, updates, data, invoices, and other information needed for reports and upload to the correct task.
-Follow up with departments and partners when information is missing.
-Consolidate information into reporting templates.
-Proofread reports and supporting documents for completeness and consistency (this is a quality control skillset)
-Maintain records so grant files are organized and ready for review.

The right person for this role:

You are dependable, persistent, and comfortable following up more than once. You do not wait for someone else to point out that a deadline is approaching. You enjoy organizing details, maintaining accurate records, and helping busy teams stay accountable.

You should be comfortable working in an environment where priorities may change and several projects are moving at the same time.

Required qualifications
-At least 3 years of experience in project coordination, grant administration, nonprofit operations, healthcare administration, or a similar role.
-Strong organizational and follow-up skills.
-Experience maintaining project trackers, spreadsheets, or task-management systems.
-Ability to take accurate meeting notes and turn discussions into clear action items.
-Strong written English and professional email communication.
-Comfortable contacting multiple people to obtain missing information.
-Ability to work independently and provide regular progress updates.
-High attention to detail when working with dates, documents, and deliverables.

Preferred qualifications
-Experience with Smartsheet or a similar project-management platform.
-Experience supporting grants or funded programs.
-Experience in healthcare, public health, or nonprofit organizations.
Familiarity with Microsoft Office, Google Workspace, and shared document systems.

What success looks like
-Project trackers are accurate and current.
-Meeting notes and action items are distributed promptly.
-Team members receive consistent follow-up on their commitments.
-Grant documents are easy to locate and properly organized.
-Leadership can quickly see what is complete, what is overdue, and what needs attention.

Pay: $28.00 - $30.00 per hour
