Job Summary

Bottom Line Delivery is seeking a full-time Remote Administrative Assistant to support daily office coordination for courier, messenger, pickup, delivery, and customer service operations.

This role helps keep customer requests, delivery details, schedules, service notes, billing support records, and internal office files organized. The right candidate should be dependable, detail-focused, professional in writing, and comfortable supporting a busy service-based business from a remote work setting.

Role Summary

The Administrative Assistant will help the management team stay organized by handling routine office support, customer communication records, schedule updates, delivery request details, and administrative follow-ups. This position requires accuracy, sound judgment, clear communication, and the ability to manage several office tasks during a full-time remote workweek.

Responsibilities

Review incoming customer requests and organize details related to pickups, deliveries, service type, timing, contact information, and special instructions.
Maintain accurate office records for delivery requests, customer accounts, service notes, follow-up items, quote details, and internal updates.
Support scheduling and coordination by updating calendars, task lists, delivery request logs, and pending service items for management review.
Assist with customer communication by preparing clear replies, confirming missing details, and routing questions to the right team member when needed.
Organize billing support records, including service notes, customer account details, delivery charges, invoice-related information, and payment status notes.
Keep digital files, shared folders, spreadsheets, customer records, vendor notes, and administrative documents organized and current.
Prepare simple reports, daily summaries, open-item lists, customer follow-up notes, and office updates for management.
Communicate with management when a record, customer request, delivery note, billing detail, or schedule item needs clarification before updates are made.

Experience

Demonstrated proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software.
At least 1 year of administrative support, office support, customer service, operations support, scheduling support, or related work experience.
Comfortable working remotely with email, spreadsheets, calendars, shared documents, and online business tools.
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
Computer literacy including familiarity with multi-line phone systems and technical proficiency in office equipment.
Ability to work full-time, follow written procedures, meet deadlines, and maintain confidentiality with customer and company information.
Previous experience in medical or dental receptionist roles or personal assistant positions is a plus but not required.
