Full Job Description

Under the supervision of the Payroll Director, performs a range of complex, responsible and confidential payroll and administrative duties for Pro-Tec Fire Services, Inc. The Payroll Clerk processes bi-weekly payroll, for multi-state U.S. and Canadian locations and administers payroll functions in compliance with applicable company policies and procedures, and federal, state, or provincial regulations. The Payroll Clerk will align service delivery in a manner that is consistent with the mission, vision, values, and brand of Pro-Tec Fire Services.

Key Responsibilities

Accurately and timely inputs, updates and process payroll information to ensure accuracy and compliance.
Ensures proper processing of payroll deductions for benefits and other deductions.
Process wage garnishments, limited verification of employment requests, and other miscellaneous requests from third parties.
Processes and reissues physical checks or direct deposits related to discrepancies or final separation payments.
Prepares and processes payroll reports accurately and within established deadlines.
Prepares benefit reports for US and Canada.
Resolves payroll discrepancies by collecting and analyzing information and interacting with other departments (ie. Human Resources).
Ability to reconcile payroll general ledger file.
Administers payroll functions while maintaining compliance with applicable company policies and procedures, including federal, state, or provincial regulations.
Ability to retrieve information as needed for employee and employer requests.
Uploads payroll related documents to ADP Workforce Now and/or SharePoint site.
Maintains employee trust and protects payroll operations through strict confidentiality and discretion.
Performs additional responsibilities and duties as needed to support departmental and organizational operations.

Required Skills and Abilities

Excellent written and verbal communication skills with the ability to communicate effectively and professionally in person, by telephone, video conferencing, and email within all organizational levels and external agencies, such as unemployment offices and other regulatory entities.
Must maintain a high level of confidentiality and exercise discretion in handling sensitive and proprietary information.
Ability to review, prepare, and analyze detailed payroll and other applicable documents.
Ability to work in a standard office environment with frequent interruptions and multiple competing deadlines.
Ability to meet or exceed deadlines.
Proficient with ADP Workforce Now (preferred) or the ability to quickly learn payroll software.
Intermediate level of proficiency with Word, Excel, PowerPoint, Outlook, Teams, Zoom and a basic to intermediate level of SharePoint experience.

Education and Experience

High school diploma or equivalent required.
3+ years of payroll experienced required.
Multi-state payroll experience preferred.
Canadian payroll experience preferred.

Physical Requirements

Prolonged periods of sitting at a desk and working at a desk and computer.
Manual dexterity sufficient to frequently operate computers, keyboards, calculators, and other standard office equipment, including performing repetitive data entry tasks.
Ability to maintain focus and accuracy while performing repetitive and detail-oriented tasks.
Visual ability to read printed materials and computer screens for extended periods of time.
Ability to occasionally stand, walk, bend, reach, and carry office materials, supplies and paper documents.
Ability to lift and move 15 pounds, with occasional ability to lift and move up to 50 pounds.
