Client Relations CoordinatorOverview
The Client Relations Coordinator supports the Client Relations team by coordinating client requests, managing project communication, facilitating approvals, and ensuring work moves smoothly between clients and internal departments. This role serves as a key point of coordination, helping maintain an exceptional client experience through organization, responsiveness, and attention to detail.
The ideal candidate enjoys working with people, thrives in a fast-paced agency environment, communicates professionally, and can manage multiple priorities while ensuring every detail is accounted for.
This position is ideal for someone with 2–3 years of experience in account coordination, project coordination, marketing, or client services who is looking to continue growing within a digital marketing agency.
Core Responsibilities
Client Support & Coordination
- Assist Client Relations Managers with day-to-day client requests.
- Respond promptly to client emails and communications.
- Help coordinate client deliverables across multiple departments.
- Ensure client requests are clearly communicated to internal teams.
- Follow up on outstanding items to keep projects moving.
- Help prepare agendas, notes, and follow-up items for client meetings.
- Build positive relationships with clients through professional and timely communication.
Project Coordination
- Create and update project tasks within the project management system.
- Coordinate work between web, SEO, content, ads, email marketing, PR, design, and QA teams.
- Track project timelines and communicate deadlines internally.
- Ensure requested revisions are accurately documented.
- Escalate potential delays or roadblocks before they impact timelines.
- Verify that deliverables move through the proper workflow before reaching clients.
Client Reviews & Approvals
- Send website designs, advertisements, print pieces, email campaigns, social graphics, and other marketing materials to clients for review.
- Track client approvals and requested revisions.
- Organize client feedback so internal teams can implement changes efficiently.
- Follow up with clients when approvals are outstanding.
- Confirm final approvals before projects move to production or launch.
Organization & Documentation
- Keep client records organized and up to date.
- Document client conversations, requests, approvals, and important decisions.
- Maintain project documentation and meeting notes.
- Help ensure internal systems accurately reflect project status.
- Assist with organizing recurring client reports and deliverables.
Team Collaboration
- Work closely with Client Relations Managers to support assigned accounts.
- Collaborate daily with designers, developers, writers, SEO specialists, advertisers, automation specialists, PR professionals, and QA.
- Help identify communication gaps or workflow improvements.
- Contribute to creating a consistently excellent client experience.
Qualifications
Required
- 2–3 years of experience in client services, account coordination, project coordination, marketing, or a related field.
- Excellent written and verbal communication skills.
- Exceptional organizational skills and attention to detail.
- Strong time management and multitasking abilities.
- Comfortable managing numerous projects simultaneously.
- Ability to work independently while collaborating across departments.
- Professional, positive, and client-focused attitude.
- Strong problem-solving skills and willingness to take initiative.
Preferred
- Experience working within a marketing agency.
- Familiarity with digital marketing services including websites, SEO, digital advertising, email marketing, branding, and public relations.
- Experience using project management software (Trello, Asana, ClickUp, Monday.com, etc.).
- Experience reviewing creative work and coordinating revisions.
- Familiarity with Google Workspace and Microsoft Office.
