POSITION OVERVIEW

The Sophia Institute (TSI) is seeking a highly organized, emotionally intelligent Director of Operations and Communications to support the Founder and Director and help steward the vision, mission, strategy, communications, and operational execution of the organization.

This is a multifaceted leadership role for someone who thrives at the intersection of operations, communications, event production, nonprofit administration, donor stewardship, and mission-driven work. The Director of Operations and Communications will work closely with the Founder and Director to help translate vision into action through organizational leadership, strategic coordination, and gracious management of programs and relationships.

The Sophia Institute seeks a deeply aligned leader who could grow into broader executive responsibilities. We are intentionally hiring for capacity, judgment, and mission resonance, not only for the role as written today.

PRIMARY RESPONSIBILITIES

Executive Partnership & Organizational Leadership

– Serve as a multi-faceted leader for strategy and operations with the Founder and Director

– Help translate organizational vision into actionable initiatives, systems, timelines, and priorities

– Coordinate ongoing organizational activities including board meetings, team meetings, communications, budgeting discussions, and strategic planning

– Exercise discretion, mature judgment, and professionalism in all communications and organizational matters

– Anticipate organizational needs and proactively solve problems before they arise

Program & Event Operations

– Lead operational planning and execution for in-person retreats, lectures, seminars, conferences, fundraising events, and online programs

– Implement Sophia Circles and Evergreen courses from archives

– Coordinate venue logistics, registrations, speaker hospitality, timelines, vendors, volunteers, and participant communications

– Manage Zoom production, webinars, livestreams, rehearsals, recordings, and virtual attendee experience

– Support smooth event execution with professionalism, flexibility, and attention to detail

Communications & Public Engagement

– Create and oversee newsletters, announcements, event communications, and social media messaging

– Coordinate public-facing communications and cross-promotional outreach

– Maintain warm, professional communication with presenters, donors, board members, participants, and partners

Donor Stewardship & Development Support

– Assist with donor cultivation, stewardship, fundraising initiatives, and annual campaigns

– Monitor budgets with Director and Bookkeeper

– Track donations and ensure timely donor acknowledgements and thank-you letters

– Support grants and contracts management when applicable

– Maintain donor and participant records within CRM systems

Operations, Systems & Administration

– Oversee staff and volunteer operations

– Build and maintain effective organizational systems and workflows

– Coordinate calendars, registrations, records, timelines, and operational documentation

– Develop Sets of Procedures (SOPs) and improve organizational efficiency across departments and projects

Salary range: $65,000- $75,000

QUALIFICATIONS

– Bachelor’s degree required. Advanced degree encouraged

– Minimum of 10 years nonprofit experience

– Strong project management and event coordination skills

– Excellent written and verbal communication abilities

– Ability to manage multiple priorities with professionalism and follow-through

– Comfort working flexible hours, including evenings and weekends during retreats and events
