Overview of the Position

The clerk’s office for the U.S. District Court for the Southern District of New York is seeking multiple Docket Clerks. The incumbents will perform a variety of operational functions related to the maintenance and processing of case information, supporting cases from the case opening phase through the disposition phase. The incumbents will play a critical role in ensuring the accuracy, integrity, and timely processing of court records while providing exceptional service to all court stakeholders. This position requires occasional travel to the 300 Quarropas Street courthouse in White Plains, New York on an as needed basis. The position reports directly to the assigned Supervisor in the Operations Department. The incumbents may be assigned to either of the following tours of duty: 8:30 a.m. - 5 p.m. or 10:30 a.m. - 7 p.m.

Position Description

The U.S. District Court for the Southern District of New York is a mission‑driven workplace that values professional growth and exceptional public service. The incumbents are responsible for performing a variety of docketing, case management, records maintenance, quality assurance, and administrative functions in support of the Clerk's Office. Responsibilities include reviewing, processing, and maintaining case-related documents and official court records; monitoring case activity; preparing and processing court-generated documents and notices; managing electronic workflows and case processing systems; and retrieving, distributing, and maintaining court documents and correspondence. The incumbents may also participate in cross-training initiatives, special projects, and operational assignments, and will perform other related duties as assigned to support the needs of the clerk's office.

Qualifications

To qualify for the position of Docket Clerk at the CL 25, the applicant must be a high school graduate, or equivalent and must possess a minimum of one year of specialized experience. Classification determination will be based upon the candidate’s overall experience, qualifications, and education. Specialized work experience attained in other governmental and private sector positions may be creditable, but that experience must be evaluated to determine whether the level of experience is equivalent to work at the specified CL. *All internal applicants requesting review of work experience outside the federal judiciary as part of the qualification process, please contact Human Resources.

General Experience

Knowledge of court operations, case management, docketing, and records management practices.
Ability to understand and apply federal and local court rules, policies, and procedures.
Strong organizational skills and attention to detail.
Ability to manage multiple assignments while meeting deadlines in a high-volume environment.
Excellent customer service, communication, and interpersonal skills.
Ability to work independently and collaboratively with judges, court staff, attorneys, litigants, and the public.
Proficiency in CM/ECF, Microsoft Office applications, and other court-related technology systems.
Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.

Preferred Knowledge, Skills, and Abilities

Court Operations: Knowledge of or the ability to learn court operations, functions, and organizational structure. Basic understanding of court documents. Ability to use the court automated case management system in order to obtain or research information needed to perform duties.

Information Technology and Automation: Knowledge and skill in the use of automated equipment including MS Outlook, Word and Excel applications. The applicant is expected to use multiple web-based applications and maintain judiciary privacy and security requirements.

Judgment and Ethics: Ability to consistently demonstrate sound ethics and judgment, maintain court confidentiality and security requirements, and comply with the Code of Conduct for Judicial Employees.

Specialized Experience

Progressively responsible clerical or administrative experience requiring the regular and recurring application of clerical procedures that demonstrate the ability to apply a body of rules, regulations, directives, or laws and involve the routine use of specialized terminology and automated software and equipment for word processing, data entry or report generation. Such experience is commonly encountered in law firms, legal counsel offices, banking and credit firms, educational institutions, social service organizations, insurance companies, real estate and title offices, and corporate headquarters or human resources/payroll operations.
