Project Administrator Job Description

Objective:

We are seeking a dedicated Construction Project Administrator (CPA) to assist with the project team in office and in field, coordinating and executing construction projects, performing administrative functions.

Job Qualifications

Key Responsibilities:

· Key point of contact for the project team and facilitate communication

· Scheduling meetings, create and distribute meeting agenda, project meeting minutes

· Maintain/distribute project documents and correspondence both in paper and digital files in Procore such as: Prime Contract agreements, Subcontract agreements, project drawings, submittals, prime contract change orders, sub change orders, purchase orders

· Preparing reports, drafting documents as instructed

· Generate and track request for information (RFI) and manage submittal process

· Review drawings and specifications

· Manage and track Notices to owner, releases of lien, certificates of insurance and licenses

· Assist with takeoffs, punch-lists, O&M manuals, and closeout documents

· Tracking budgets and project expenditures, organizing and creating monthly project billings, subcontractor’s monthly billing in Sage and TimberScan

· Maintain compliance regulations, MSDS, and safety logs

· Foster positive relationships with stakeholders (clients/vendors/subcontractors)

Required Skills:

· Proven work experience as a construction Project Coordinator/Administrator or similar role

· Familiarity with CSI Codes (DIV 1-16)

· Experience with RFI and Submittal process

· Proficiency with MS Office Suite

· Excellent organizational and time-management skills

· Multi-tasking abilities

· Team oriented, ability to interact and communicate effectively with all levels of the organization in a fast-paced environment

· Ability to interpret and analyze complex construction blueprints (drawings and specifications)

· Assist in project planning and budgeting

· Coordinate the efforts of all parties involved in the project, which include clients, architects, contractors, subcontractors and laborers

· Ensure project documents are complete and up to date

· Assist in resolving any issues that may arise during the project execution

· Assist in for obtaining city/county permits

Preferred Skills:

· 3+ years of experience as a Project Coordinator/Administrator in commercial or residential construction or General Contractor

· Familiarity with Procore and Bluebeam, Sage, TimberScan

Education Preferred but Not Required:

· Bachelor’s degree: in Business, Industrial/Civil Engineering, Architecture, Construction Management or related field

· Certifications: OSHA 10 or OSHA 30

Reports To: Project Executive/Project Manager/Assistant Project Manager

FLSA Status: Exempt

Job Type: w4/Full-time

Schedule: Monday – Friday (+40 Hours)

Location: On site/In Person

Salary Range: TBD based on experience

Desired Start Date: ASAP
