Position Summary
This is a 100% onsite position in Salt Lake City, Utah.
The HR Assistant / Receptionist provides administrative support to the Human Resources department, assists with daily HR operations, and serves as a professional first point of contact for visitors, callers, vendors, and employees. This role is well-suited for someone who is detail-oriented, discreet, customer-service focused, and eager to learn HR processes while maintaining accuracy, confidentiality, and a professional front office environment.
Responsibilities
- Maintain strict confidentiality related to recruiting, employee records, training, and HR matters.
- Enter and maintain employee information in the HR system, including new hires, updates, and terminations.
- Maintain personnel records in compliance with company policies and legal requirements, including personnel, I-9, EEO, and medical files.
- Assist with recruitment and hiring activities, including onboarding documentation, interview coordination, and new hire file preparation.
- Complete employment verification forms, background check support, and related administrative follow-up.
- Assist with benefits administration, employee inquiries, and routing employee questions to the appropriate HR contact when needed.
- Record and maintain employee data such as contact information, attendance, employment status, and other HR records.
- Coordinate with internal teams and external vendors to support HR programs and employee services.
- Serve as receptionist and first point of contact by greeting visitors, answering and routing phone calls, receiving guests, and maintaining a professional front desk presence.
- Manage visitor sign-in processes, direct visitors to appropriate personnel, and support basic building access or badge coordination as needed.
- Receive, sort, and distribute incoming mail, packages, and deliveries; coordinate outgoing mail or shipping requests as assigned.
- Support office management needs, including ordering and maintaining office supplies, monitoring common area organization, and coordinating with vendors for office services, equipment, or maintenance needs.
- Assist with scheduling meetings, preparing conference rooms, coordinating office lunches/events, and supporting general office communication as needed.
- Provide general administrative support to the HR department and office leadership, including filing, scanning, data entry, document preparation, and other clerical tasks.
- Perform other HR, receptionist, and office support duties as assigned.

- Proficiency with Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
- Prior HR, receptionist, customer service, or administrative office experience preferred but not required.
- Willingness to learn HR systems, policies, office procedures, and company processes.
Preferred Skills / Experience
- Experience answering multi-line phones or managing a front desk/reception area.
- Experience coordinating office supplies, mail, vendors, meetings, or facilities-related requests.
- Familiarity with HRIS systems, employee files, onboarding documentation, or basic HR administrative processes.
