Event Planner

Chef Dane Catering | Seattle, WA

Full-Time | $31/hour

About Us:

Chef Dane Catering is a full-service catering company known for elevated cuisine and seamless event execution. We specialize in weddings, corporate events, and luxury social gatherings throughout Seattle.

Job Description:

We’re seeking a highly organized and detail-driven Event Planner to take ownership of events after the sale is finalized. This role is responsible for guiding clients through the planning process, coordinating all logistics including staffing, and ensuring successful execution from start to finish.

Key Responsibilities

Client & Logistics Management

Take over client relationship after contract is signed
Guide clients through planning timelines, deadlines, and next steps
Finalize menus, rentals, layouts, and event logistics
Manage all client communications post-sale with professionalism and clarity
Own all event details (floorplans, rentals, timeline, etc.)
Manage changes, updates and revisions with a high level of accuracy and speed
Assist with final billing updates and event close-out

Event Documentation & Communication

Create detailed BEOs (Banquet Event Orders), staff worksheets, and timelines
Ensure all event details are accurate, updated, and distributed on time
Communicate all event information clearly to cross teams, including but not limited to:
Kitchen Team
Staffing Team
Rental Companies
Venue Contracts
Clients

Staffing Coordination

Build and assign event staffing schedules in Nowsta
Communicate call times, roles, and expectations to staff
Coordinate with internal team and contractors to ensure all roles are filled

Event Execution

Lead or oversee event-day execution as needed
Ensure timelines and service standards are met
Troubleshoot and resolve issues in real time

Qualifications

2+ years in event planning, catering, or hospitality
Strong organizational and time management skills
Experience working different styles of events, weddings, memorials, etc.
Excellent communication and client management skills
Experience creating BEOs and managing event logistics
Familiarity with catering software tools like Caterease and Nowsta preferred
Ability to manage multiple events and deadlines simultaneously
Professional, calm, and solution oriented under pressure
Flexible schedule with availability for nights and weekends as needed
