Full Job Description

The Executive Assistant I provides high-level administrative support to designated members of the Executive Leadership Team (excluding the CEO and Superintendent), ensuring smooth coordination of schedules, communications, and project-related tasks. This role serves as a liaison to internal and external stakeholders, manages complex schedules and logistics, and helps drive operational excellence through proactive support and execution.

Role and Responsibilities

Provide high-level administrative assistance to designated C-Suite leaders (excluding the CEO and Superintendent).
Anticipate needs and proactively manage calendars, communications, and task coordination.
Coordinate travel arrangements and itineraries for assigned executives.
Provide administrative and coordination support for department- or division-level initiatives.
Maintain records, retrieve information, and produce correspondence, reports and forms.
Handle sensitive information with discretion and maintain a high level of professionalism in all interactions.
Support logistics for internal and external meetings, including agenda preparation, materials, room setup, and minutes tracking.
Maintain organizational contracts, including tracking timelines, renewal dates, and ensuring proper documentation is filed and accessible.
Collaborate with internal stakeholders to support contract-related workflows as directed by General Counsel.
Partner with the Executive Operations Manager to support organizational events and retreats as needed.
Provide backup support to the Executive Operations Manager, including assistance with scheduling, communications, and operational coordination during high-volume periods or when coverage is needed.
Ensure that all work generated from department reflects a neat, professional image.
Ensure departmental equity and compliance with all company policies and procedures.
Represent the company in the community in a positive fashion.
Communicate professionally on behalf of executives and maintain positive relationships with internal and external partners.
Assist with other projects as assigned.

Supervisory Responsibility

This position has no supervisory responsibilities

Required Skills & Qualifications

High School Diploma or GED
Must have at least four years of progressive responsibility in supporting an Executive.
Ability to adapt in a dynamic, mission-driven environment and maintain confidentiality at all times.
Strong interpersonal and communication abilities, with a high degree of emotional intelligence.
Exceptional time-management, organizational, and multitasking skills
Ability to perform advanced, diversified and confidential administrative duties.
Creative and flexible problem solving.
Reliable transportation with valid driver license and proof of insurance with ability to travel to various worksites.

Preferred Qualifications:

Associate or bachelor’s degree in business administration or related field.
Experience supporting multiple executives across departments or functions.
Understanding of nonprofit or educational organization operations.

Physical Requirements

Must be able to lift up to 30 pounds at times.
Prolonged periods of sitting at a desk and working on a computer.
While performing the duties of this job, the employee is frequently required to walk; balance; stoop, kneel, crouch, and talk or hear.
The ability to cope with and tolerate moderate levels of stress is also a necessity. Specific vision abilities required by this job include close vision, distance vision, depth perception and ability to adjust focus
Ability to use hands and fingers to operate a telephone and keyboard.
