Job Overview

The Senior Manager of Executive Initiatives & Programs is a high-level, hybrid position designed for an exceptional leader who balances sophisticated executive partnership with strategic project execution. As a member of the organization's senior leadership team, this role serves as a vital extension of theC hief Executive Officer. The position is responsible for directing daily executive operations, managing governance workflows for the Board of Directors, and driving high-priority organizational programs.

A substantial focus of this portfolio will be serving as the programmatic architect for rebuilding the operational framework of the organization's Education Program. The ideal candidate brings a blend of executive presence, strict discretion, and a proven track record of project management, moving seamlessly from governance logistics to community-wide program execution.

Responsibilities:

Program Leadership & Education Initiative

 Program Design & Launch: Lead the strategic development, planning, and rollout of the Education Program, converting organizational vision into actionable timelines and deliverables.

 Operational Scaffolding: Establish the infrastructure for the program, including curriculum frameworks, scheduling logistics, tracking metrics, and administrative workflows.

 Stakeholder & Community Engagement: Build and maintain high-level partnerships with schools, community groups, youth organizations, and volunteer educators to secure buy-in and program reach.

 Impact Reporting: Monitor program efficacy, manage project budgets, and compile comprehensive reports and data presentations for donors, grantors, and internal leadership.

Executive Initiatives & Special Projects

 Cross-Functional Projects: Oversee and execute multi-departmental special projects, high impact public events, or strategic initiatives directly assigned by the CEO.

 Research & Strategic Reporting: Conduct research, synthesize data, and prepare concise reports or presentations to assist the senior leadership team in making data-driven strategic decisions.

 Process Improvement: Identify opportunities to streamline internal communication, eliminate administrative silos, and optimize organizational workflows across staff and volunteer networks.

Executive Administration & Calendar Management

 Strategic Schedule Management: Serve as the gatekeeper for the CEO’s time, managing a complex calendar, evaluating meeting requests against organizational priorities, and troubleshooting conflicts.

 Executive Briefing & Prep: Proactively prepare agendas, research briefs, and background documentation to ensure the CEO is fully optimized for daily meetings and external engagements.

 Executive Communications: Draft, refine, and manage high-visibility correspondence, internal memos, and presentations on behalf of the CEO, ensuring an authentic and professional tone.

 Action-Item Tracking: Monitor workflow across executive initiatives, tracking milestones and following up with key staff or external partners to ensure timely project completion.

Board of Directors & Committee Governance

 Governance Coordination: Oversee the logistical planning, scheduling, and execution of all Board of Directors and committee meetings (hybrid, virtual, and in-person).

 Materials & Packets: Manage the collection, synthesis, and timely distribution of official board packets, strategic updates, and financial materials.

 Board Liaison: Act as a reliable, professional liaison between the CEO, staff leadership, and Board members to foster transparent communication and strong working relationships.

Other duties, as assigned.

Qualifications:

Experience: 5+ years of experience supporting C-suite executives, coupled with demonstrated experience in project management, program launch strategies, or youth-focused programming (preferably within a nonprofit or public-benefit environment).

 Project Leadership: Proven ability to build programs or systems from the ground up, manage competing priorities, and lead complex projects to successful completion.

 Communication Excellence: Exceptional written, verbal, and interpersonal communication skills. Comfort interfacing with corporate partners, philanthropists, board members, public officials, and community volunteers.

 Discretion & Trust: Impeccable judgment and emotional intelligence, with a strict commitment to maintaining confidentiality and managing sensitive organizational information.

 Technical Proficiency: Mastery of office productivity systems (Microsoft Office 365, Google Workspace), virtual meeting platforms (Zoom, Teams), and collaborative project management software. Experience with CRM or donor databases is preferred.

Pay: $65,000.00 - $75,000.00 per year
