Full Job Description

Position Summary

The Call Center Supervisor is a senior individual contributor who serves as the operational right hand to the Director of Operations. This role is designed for an experienced operations or call center leader who is ready to step into a high-ownership, execution-focused role that goes well beyond managing a queue. You will oversee the daily performance of a fast-paced fleet service operation — managing inbound service calls and vendor interactions, driving billing accuracy and cost controls, and ensuring financial reconciliation and reporting processes are completed on time and correctly. The ideal candidate has managed people and processes in a service operations or call center environment, understands what it takes to keep a team running smoothly under volume and pressure, and is capable of handling the operational and financial complexity that comes with a large national fleet program.

What You’ll Own

Operations & Call Center Oversight

Serve as the day-to-day operational lead for the fleet services call center, overseeing staff performance, call quality, service levels, and escalation handling.
Act as the primary point of escalation for complex driver, vendor, and shop issues that require senior-level judgment and resolution.
Monitor inbound service volume across channels — phone, email, and digital — and ensure response standards and service levels are consistently met.
Coordinate with field drivers, repair shops, and vendors to authorize services, dispatch support, and manage breakdown events across multiple divisions.
Identify workflow bottlenecks, gaps in coverage, and process breakdowns; develop and implement corrective actions with urgency.
Develop and maintain standard operating procedures, training materials, and quality standards used across the operations team.
Provide direct backup coverage for critical operational functions during high-volume periods, staff absences, or unexpected escalations.
Support the Director of Operations in project work, reporting, and special initiatives as a trusted operational partner.

Billing & National Account Management

Oversee billing operations for national account clients, ensuring invoices are accurate, complete, and issued in compliance with contract terms and timelines.
Review and audit vendor and shop invoices against purchase orders and work orders, identifying discrepancies in labor rates, parts pricing, or scope of work.
Manage the authorization and payment request process for vendors and repair facilities, maintaining documentation and supporting timely payment cycles.
Track and resolve billing exceptions, disputed charges, and credit adjustments across national accounts, driving issues to closure in a timely manner.
Flag and escalate billing anomalies — including unapproved rate overages, duplicate charges, no-failure billing, and unbilled work — with documented support for leadership review.
Ensure billing data integrity across fleet management systems and support the continuous improvement of billing workflows.

Accounting & Financial Reporting

Perform monthly account reconciliations across internal and external accounts, ensuring alignment between fleet system records, vendor statements, and financial reporting.
Prepare and distribute month-end reports summarizing fleet spend by division, vendor, vehicle type, and repair category.
Maintain and audit purchase order data, identifying integrity issues such as missing labor rates, incomplete work orders, or misclassified repair types.
Support the monthly financial close process including accruals, supporting schedules, and coordination with internal finance and accounting teams.
Produce operational and financial trend analyses — cost comparisons, vendor performance, year-over-year variance — to support data-driven decision-making by leadership.
Ensure fleet-related expenses are properly documented, coded, and reported in compliance with internal controls and accounting standards.

Qualifications

Required

2-4 years of experience in operations management, call center management, or a high-volume service environment with demonstrated responsibility for team performance and service quality.
Proven track record of managing or supervising front-line staff, including scheduling, performance monitoring, and escalation handling.
Experience with invoice review, billing reconciliation, or financial reporting in an operations context — fleet, logistics, transportation, or field services preferred.
Strong analytical skills with the ability to interpret spend data, identify cost trends, and communicate findings in a clear, actionable way.
Proficiency in Microsoft Excel and comfort working with large data sets; experience with fleet management or work order management systems a plus.
Highly organized, self-directed, and capable of managing competing priorities without losing accuracy or responsiveness.
Strong communicator with the ability to interact professionally with field staff, vendors, clients, and executive leadership.

Preferred

Background in fleet management, managed maintenance, transportation, or a third-party fleet administration environment.
Experience managing a service desk or inbound operations center that handled multi-channel volume (phone, email, digital).
Familiarity with commercial vehicle types including light-duty trucks, heavy trucks, and specialty equipment such as hi-rail or aerial units.
Experience with vendor management, rate agreement auditing, or preferred vendor program compliance.
Associate’s or Bachelor’s degree in Business Administration, Operations Management, or a related field, or equivalent professional experience.

Pay: $75,000.00 per year
