Administrative Assistant (Contract)

Summary:
We are seeking a highly organized and proactive administrative professional to join a dynamic team supporting cloud storage backend operations. This role is central to ensuring the smooth day-to-day functioning of a fast-paced technical environment, providing comprehensive administrative and business support to all levels of management, including external business partners. The ideal candidate will bring exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities simultaneously. From coordinating complex schedules and travel logistics to supporting financial operations and facility management, this individual will serve as a critical point of contact and operational backbone for the team.
Job Responsibilities:
Provide comprehensive calendar management and scheduling support for management
Coordinate end-to-end travel logistics and process business expense reporting and reconciliation
Plan and execute meetings, including preparation, coordination, and follow-up
Support space planning, office logistics, and facility operations
Lead event planning and coordination, including morale and team events
Triage inbox and communications to ensure timely and effective responses
Manage onboarding and offboarding processes for team members
Oversee procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships
Manage PC tracking and equipment management responsibilities
Serve as the primary department and group contact for administrative needs
Complete special projects as assigned by management
Requirements:
Minimum of 2 years of administrative or business support experience required
At least 2 years of experience with calendar management
At least 2 years of experience supporting onboarding and offboarding processes
At least 2 years of experience planning and coordinating morale or team events
Demonstrated experience supporting all levels of management, including external business partners
Prior experience managing department financial operations, personnel operations, and facility operations preferred
Strong calendar management and scheduling abilities across multiple stakeholders
Proficiency in coordinating complex domestic and international travel arrangements
Experience managing expense reporting and financial reconciliation processes
Ability to plan and execute events, meetings, and team activities from start to finish
Strong written and verbal communication skills for inbox triage and stakeholder correspondence
Familiarity with procurement processes and vendor relationship management
Ability to manage onboarding and offboarding workflows efficiently
Strong organizational and multitasking skills in a fast-paced environment
Attention to detail and ability to handle confidential information with discretion
Additional Details:
Location: Redmond, WA (Hybrid: 3 days onsite)
Duration: 12 months
Pay Range*: $27.50 - $31 per hour
Weekly Schedule: 40 hours
Job Status: Non-Exempt
