Full Job Description

Job Description:
Aurora Blue Consulting and Design seeks a detail-oriented and proactive Project Management Support Specialist to assist in coordinating and facilitating multiple aspects of utility projects. The ideal candidate will play a key role in supporting communication between internal teams, governmental agencies, and external organizations to ensure projects move forward efficiently, accurately, and in compliance with regulatory requirements.

Key Responsibilities

Assist with communication and coordination with various governmental agencies and external organizations to obtain project approvals and schedule inspections.
Develop and maintain professional relationships with agency and utility staff to ensure timely acceptance and accuracy of utility submittals.
Support preparing, submitting, and tracking accurate and timely utility applications and approvals.
Manage and administer billing activities related to assigned projects, ensuring accuracy and proper documentation.
Develop and/or revise procedures, processes, and guidelines to support efficient business operations (e.g., within OneNote or related systems).
Serve as a consultant to the Project Management Team on specific projects or functional areas, providing insight and administrative support.
Gather, organize, and analyze project documents and research data using databases, files, and spreadsheets.
Create and maintain project logs, files, and databases to monitor and track project timelines resources, schedules, and status for management review.
Provide research and coordination support for TPPs, Gas, Telecom, CATV, and Water Utility submittals, which may include field visits to project sites or utility offices.
Assist with project construction administration, including coordination, communication, and documentation.

Qualifications

Experience in project coordination, utility consulting, or construction-related support preferred.
Strong communication and organizational skills, with the ability to manage multiple priorities in a fast-paced environment.
Proficient in Microsoft Office Suite (Excel, Outlook, Word, OneNote) and other project tracking tools.
Ability to work collaboratively within a team while maintaining professionalism with external agencies and partners.
Detail-oriented with strong problem-solving and time management abilities.
