Internship Opportunity: Formatting & Data Management Intern Mechanical Contracting FirmLocation: Stevensville MT
Position Type: Paid Internship (Part-Time or Full-Time)
Duration: [Summer/Semester/3–6 Months]
Compensation: Competitive hourly wage based on experience. We are a growing mechanical contracting firm specializing in commercial and industrial HVAC, plumbing, piping, and mechanical systems. Our team is committed to delivering high-quality projects through strong organization, technical expertise, and attention to detail. We are seeking a motivated intern to assist with formatting, document organization, and data management to support our estimating, project management, and operations teams. The Formatting & Data Management Intern will play a key role in organizing project documentation, maintaining databases, standardizing company templates, and ensuring information is accurate and accessible. This internship is ideal for a student or recent graduate interested in business administration, construction management, engineering technology, information systems, or a related field.

Responsibilities

Format proposals, reports, spreadsheets, and project documentation to company standards.
Organize and maintain electronic filing systems.
Enter, verify, and update project and customer data in company databases.
Assist with organizing estimating and project management documentation.
Create and maintain document templates, forms, and checklists.
Review files for consistency, accuracy, and completeness.
Support project managers with document preparation and recordkeeping.
Assist with compiling project closeout documents and operations manuals.
Help improve workflows by identifying opportunities for better document organization and data management.
Perform other administrative and project support tasks as assigned.

Preferred Qualifications

Currently pursuing or recently completed a degree in Business, Construction Management, Engineering, Information Systems, or a related field.
Strong proficiency in Microsoft Office (Excel, Word, Outlook).
Experience with Adobe Acrobat PDF editing is a plus.
Familiarity with Microsoft SharePoint, Teams, or cloud-based document management systems is preferred.
Excellent organizational skills and attention to detail.
Ability to prioritize multiple tasks and meet deadlines.
Strong written and verbal communication skills.
Self-motivated with a willingness to learn.
