Facilities Maintenance Manager

Job Announcement:

SEED Syracuse Inc., is seeking a Facilities Maintenance Manager to maintain the physical plant of the 160,000 square foot, 13 story, Chimes Building, located at 500 S. Salina Street, Syracuse NY 13202. The building is slated to open in late July of 2026.

Overview of the Chimes Building and SEED Syracuse Inc.:

The Chimes Building is being redeveloped by SEED Syracuse, a community development group, into a mixed use, mixed income property, at the southern edge of downtown Syracuse. SEED Syracuse is restoring the first floor of the Chimes Building back into a bustling commercial/retail area, recreating an experience like the one when the building was first opened in 1929. The building, located across from the Marriott Syracuse Downtown and Salt City Market, will have five commercial spaces on the first floor, two telecommunications companies, one in the basement and one on the second floor, and floors 2 through 12 feature 152 mixed-income apartment units ranging from studio apartments to three-bedroom units. Each apartment is open, airy, modern, and includes state of the art appliances, solid surface countertops, and high-quality construction materials. The building also features a residential lounge, rooftop patio, a gym, extra storage areas, and on-site parking for over 90 cars.

The mission of SEED Syracuse Inc., a newly formed not-for-profit organization, is to act as a stabilizing force in neighborhoods by developing mixed-use, mixed-income properties on critical commercial corridors in areas in need of renewal and rehabilitation, thereby directly preventing further deterioration. SEED Syracuse Inc. was formed through the vision and leadership of the Allyn Family. Previously, the same leadership spearheaded a mixed-use, mixed income project known as the Salt City Market, which was completed in early 2021, directly across the street from the Chimes building.

Summary of the Position:

The Facility Maintenance Manager will be employed by SEED Syracuse Inc. to maintain the physical plant of the Chimes Building, located at 500 S. Salina Street, Syracuse NY 13202. The position reports to the Building Manager and works to ensure the facility and its services meet the needs and standards of our tenants and our ownership.

Duties:

· Ensure property is walked daily and proactively identify and address any service-related needs

· Maintain property appearance and ensure repairs are noted and completed on timely basis

· Act as the main point of contact for all service contractors

· Assist in securing bids and coordinating outside (3rd party) vendors and building material ordering

· Hold vendors accountable during and after contracted work is performed

· Manage third party insurance certificates

· Manage all work orders

· Implement and conduct routine preventive and condition maintenance programs

· Respond to service requests from apartment and commercial tenants within 24 hours

· Perform and oversee routine building maintenance of equipment, building materials and the exterior grounds in a safe and efficient manner

· Implement plans to reduce waste and improve maintenance work wherever feasible

· Ensure efficient and reliable operation of the building, process and equipment while protecting and prolonging the economic life of building assets at optimal cost

· Ensure that all service requests are recorded and communicated appropriately to the Building Manager on a regular basis

· Utilize property management software (Propertyware) to receive and record all maintenance requests

· Respond to facility and equipment alarms and system failures

· Troubleshoot building/unit malfunctions and failures and help make, or arrange for necessary repairs

· Ensure proper response and handling of all property emergencies with staff, tenants, buildings, etc. within tenant guidelines to minimize liabilities (i.e., criminal activity on property, employee/tenant injuries, fires, floods, freezes, etc.)

· Ensure that unsafe conditions are corrected in a timely manner

· Manage all exterior grounds including the sidewalks, walkways, parking lot, and green spaces with special attention to lawncare and weeding in the warmer months and snow removal in the colder months

· Ensure all recycling and trash receptacles for rubbish removal are properly stowed and secured two to three times per week

· Ensure regular maintenance responsibilities for apartments are properly addressed such as filter and battery replacements

· Assist with turning over apartments when one tenant vacates and another tenant moves in

· Work with management to identify opportunities to create efficiencies in protocols, systems and supplies

· Follow and observe all Fair Housing and ADA requirements when interacting with all commercial and residential tenant and their guests

· In future years, potentially supervise a building repair technician to ensure all work in the building is being carried out and coordinated in an expedited manner

· All other duties as assigned by the Building Manager

Basic Qualifications:

· Bachelor, Associate Bachelor’s or technical degree in a related discipline and/or 5+ years previous work experience with direct leadership in an operations or maintenance environment

· Advanced technical knowledge of equipment repair and building systems, electrical, plumbing, painting etc.

· Working knowledge of safety regulations and OSHA standards

· Must be able to communicate effectively at all levels

· Excellent customer service skills and ability to interpret needs

· Process and detailed oriented individual

· Ability to interpret technical information and determine operational effects

· Mechanically inclined, multi-tasker with both good communication and leadership skills

· The ability to work independently and/or in collaboration with other members of the SEED Syracuse Inc. team

Minimum Requirements:

● Must possess smartphone and/or computer skills sufficient if requested to order building supplies, materials and equipment

● Normal schedule is Monday through Friday 7:00am to 4:00 pm. Must be available for on-call rotation.

● Must have a valid New York State Driver’s License and have a personal vehicle

Work Environment/Physical Demands:

· Position requires normal mobility and ability to work both in a structured office setting and conduct on-site visits throughout the building.

· Position requires excellent verbal and written communication skills in a variety of settings and use of routine office equipment (calculators, smartphone, write and take messages, prepare written reports)

· Position requires ability to interact with tenants from a variety of cultural and socio-economic backgrounds

· Must be able to lift up to 50 pounds on a regular basis.

· Requires daily walking through the building (up to 1 mile per day) in normal course of duties

Miscellaneous

· The position is full time with benefits. Salary will be commensurate with experience

· The Facilities Maintenance Manager will report directly to the Building Manager of SEED Syracuse Inc.
