Full Job Description

Job Title: Bookkeeper & Office Manager

Location: Mobile Alabama

Job Type: Full-Time, On-Site

Job Overview

We're looking for an experienced, full-cycle bookkeeper to run our day-to-day accounting and help keep the office running smoothly. The ideal candidate has hands-on, full-cycle bookkeeping experience in QuickBooks Online and is comfortable managing accounts payable, accounts receivable, payroll, and financial reporting. This person also serves as the CEO’s Administrative Assistant and supports other managers as needed.

Responsibilities

· Accounts Payable: Pay vendor bills on time, resolve discrepancies, and make sure customers are rebilled correctly. Audit customer accounts to help protect profit margins.

· Accounts Receivable & Collections: Invoice customers and follow up on past-due accounts.

· Reconciliation: Reconcile checking and credit card accounts each month.

· Bank & Credit Card Monitoring: Watch accounts for accuracy and fraud; make bank deposits.

· Financial Reporting: Prepare monthly financial statements (P&L, balance sheet, cash flow) and other reports as needed; support audits.

· Payroll & HR: Process payroll, act as the liaison with our payroll company, and manage onboarding, offboarding, and time tracking.

· Taxes & Filings: Help the accountant prepare tax returns, file sales tax and personal property tax returns, and renew business licenses.

· Vendor Relations: Resolve invoice issues with vendors.

· Office Support: Serve as the CEO’s Administrative Assistant and support other managers as needed.

· Team Collaboration: Work with the accounting team to improve financial processes.

Qualifications

· 3+ years of full-cycle bookkeeping experience, ideally in QuickBooks Online (QBO).

· Payroll processing experience.

· Solid understanding of accounts payable, accounts receivable, and reconciliations.

· Strong Excel and QuickBooks Online skills.

· High attention to detail and accuracy.

· Good communication and problem-solving skills.

· Bookkeeping certification a plus.
