Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our team! Responsibilities

Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry tasks accurately using spreadsheets and productivity software such as Microsoft Office and Google Workspace
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of documents
Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently
Handle client communication via phone, email, and in person, providing excellent customer service and support
Support office management tasks such as bookkeeping with QuickBooks and managing office supplies inventory
Proofread documents for accuracy and clarity while ensuring adherence to company standards
Provide clerical support including word processing, document formatting, proofreading, and general administrative duties

Experience

Proven experience in an office environment or as an administrative assistant with strong organizational skills
Familiarity with office management procedures and clerical tasks such as filing, data entry, and document preparation
Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), and other productivity software
Experience handling multi-line phone systems and practicing professional phone etiquette
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Prior experience in customer service or front desk roles within medical or dental settings is a plus
Demonstrated ability to manage calendars, coordinate appointments, and handle multiple priorities efficiently
Technical proficiency in computer literacy including typing speed, proofreading skills, and familiarity with bookkeeping tools like QuickBooks
