Full Job Description

Office Manager

Schlaegle Design Build is Pittsburgh's trusted partner for commercial woodwork and interiors. For over 15 years we have delivered expert craftsmanship and zero surprises on more than 500 commercial projects, earning a spot on the Pittsburgh Business Times Fast 50 in 2024 and 2025. We're looking for an Office Manager to keep the day-to-day running smoothly. This is a hands-on administrative seat: you'll support our people, keep the office stocked and organized, and run the checklists and systems that hold a growing company together. If you take pride in being the person who makes sure nothing falls through the cracks, this is your role.

What This Seat Is (and Isn't)

We've scoped this role on purpose, and we want you to know exactly what you're signing up for.

It is a hands-on administrative role. Ordering, scheduling, coordinating, processing, and following through on the details, every day.
It is not a leadership seat over operations, HR, or finance. You'll support those functions and work alongside the people who own them, but you won't run them.
It is not a front desk job either. You'll handle mail and packages, but answering the main line and greeting visitors aren't part of this seat.

This role reports to our Integrator, the leader who runs SDBA's day-to-day operations. You'll work closely with our Controller and leadership team, but the Integrator is your manager.

What You'll Own

Office and Facilities

Keep the office and shop stocked and running: office supplies, kitchen and breakroom supplies, cleaning supplies, and weekly snacks for the team.
Manage our Xerox print fleet, including supply orders and service coordination.
Handle incoming and outgoing mail and packages.
Serve as point of contact for our phone system, and be the calm first responder for issues like an internet outage, following our established response plan.
Serve as SDBA's day-to-day liaison with our external IT company.

Human Resources Administration

Run the administrative side of hiring: managing job postings, communicating with candidates, and moving applicants through our process.
Coordinate onboarding for new hires and offboarding for departing employees using our established checklists.
Process paid-time-off requests start to finish: confirming availability, securing manager approval, and keeping calendars accurate.
Help schedule and coordinate recurring team reviews and one-on-one meetings, and keep that documentation organized.

Bookkeeping and Payroll Support

Assist our Controller with payroll processing, and run payroll start to finish when the Controller is on PTO or unavailable (we run payroll through ADP).
Pitch in on minor bookkeeping tasks as needed.

Travel and Events

Book and coordinate company travel, including hotel arrangements through our preferred partners.
Plan and prepare for client and partner facility tours and company events.

The seat can grow with you. As you master the core of the role, there's room to take on more based on your strengths and the needs of the business.

What We're Looking For

Experience in an office management, administrative, or operations support role (3+ years preferred).
Strong organizational skills and the ability to juggle many moving parts without dropping any of them.
A proactive, self-directed mindset; you see what needs doing and do it.
Excellent communication skills and genuine attention to detail.
Discretion. This seat touches payroll, PTO, and hiring information, and we need someone who treats that with care.
Comfort with technology and a willingness to learn new platforms. We use Google Workspace, ADP, and similar tools day to day. Payroll or bookkeeping exposure is a plus, and the ability to learn quickly is essential.

Pay, Schedule, and Benefits

$45,000 to $70,000 per year, based on experience.
Full-time, in person at our Pittsburgh office (15204).
401(k) with match, health, dental, and vision insurance, paid time off, and a flexible schedule.
