Why does the job exist?

The purpose of this position is to provide customer support and secretarial services to both internal and external customers to ensure the efficient daily operation of the field office. This position serves as the initial point of contact by answering incoming telephone calls and assisting walk-in clients. Duties include supporting office workflow processes such as data entry, mail preparation and distribution, maintaining postage and vehicle logs, and managing files and records. Financial responsibilities include preparing and making deposits, allocating funds to appropriate funding codes, entering data into banking software, and reviewing and reconciling deposit summary reports with internal database records to ensure accurate accounting and procurement practices.
How does it get done?

Provide professional customer service to internal and external customers to ensure the public receives accurate, current, and consistent information in a courteous and efficient manner
Administrative and program support services to staff to ensure efficient and timely operation of program goals and program support
Enters and maintains program data in bureau databases to support accurate tracking, reporting, and record keeping
Administrative financial support for assigned program areas in accordance with established policies and procedures
Administrative coverage for the field office during core hours from 8:00am to 5:00pm Monday thru Friday to ensure continuity of operations and customer service
Coordinates with records custodians to support timely responses to public records requests in accordance with applicable laws and deadlines

Minimum Qualification

No prior experience or training required.
Employment Requirements

Must possess and maintain a valid driver¿s license. Must possess and maintain a current Defensive Driving Course Certificate from the State of New Mexico or must pass and receive Defensive Driving Course Certification within six (6) months of date of hire as a condition of continued employment.
Working Conditions

Work is performed in an office setting with exposure to Visual/Video Display Terminal (VDT) and extensive personal computer and phone usage. Some sitting, standing, bending, and reaching may be required.
