Full Job Description

Position Overview

The Production Coordinator is responsible for supporting the daily roofing production process from the moment a job is ready to schedule until the job is fully completed. This role keeps communication organized between the office, field supervisors, subcontractors, suppliers, inspectors, and customers to make sure every project moves forward smoothly, on time, and with proper documentation.

The ideal candidate is organized, proactive, detail-oriented, and comfortable following up with multiple people throughout the day.

Key Responsibilities

Job Scheduling & Coordination

Coordinate upcoming roofing jobs with the Production Manager, field supervisors, subcontractors, and office team.

Confirm job start dates, crew assignments, material delivery dates, inspection needs, and any special job notes before work begins.

Make sure each job is properly prepared before the start date, including permit status, HOA approval, material order, customer confirmation, and access instructions.

Inspection Scheduling & Follow-Up

Schedule all required inspections with the city/county at the proper project stages.

Track inspection dates, timeframes, results, and required next steps.

Communicate inspection schedules to field supervisors, crews, and the office team.

Confirm that permit cards, affidavits, photos, and required documents are ready before inspections.

Follow up on failed inspections and make sure the correction notes are shared with the correct team members.

Reschedule inspections when corrections are completed.

Daily Production Follow-Up

Track active jobs throughout the day and make sure updates are being received from the field.

Follow up with supervisors and crews for required photos, videos, affidavits, inspection updates, and completion notes.

Help keep jobs moving through the correct production stages in JobNimbus.

Customer Communication

Assist with customer updates before, during, and after production.

Confirm start dates with customers, send basic progress updates, and help answer scheduling-related questions.

Make sure customer concerns are documented and escalated to the correct person when needed.

Materials & Deliveries

Help coordinate material orders, delivery windows, missing materials, returns, and supplier communication.

Confirm materials are ordered correctly based on the job scope, permit documents, and production schedule.

Communicate delivery issues quickly to the Production Manager and field team.

Documentation & JobNimbus Updates

Verify that required job photos, affidavits, permit documents, inspection results, and completion documents are uploaded properly.

Update JobNimbus daily with job status, inspection notes, scheduling updates, and important communication.

Keep internal tracking sheets accurate and current.

Job Completion & Final Touch-Ups

Track jobs that are near completion and make sure final items are handled, including trash pickup, ladder pickup, final inspection, gutters, touch-ups, repairs, and customer concerns.

Help confirm that completed jobs are ready to move to billing.

Strong organization and follow-up skills.

Ability to manage multiple jobs, inspections, and schedule changes at the same time.

Clear communication by phone, text, and email.

Comfortable calling cities, counties, inspectors, suppliers, customers, and subcontractors.

Basic understanding of roofing, permitting, inspections, and job scheduling is preferred.

Experience with JobNimbus, Google Sheets, CRM systems, or project management software is a plus.

Ability to stay calm under pressure and solve problems quickly.

Pay: $45,000.00 - $90,000.00 per year
