Collections Assistant

Location: Tucson, Arizona – In Office

Smith & Wamsley, PLLC is a thriving law firm based in Tucson and Phoenix, Arizona, specializing in real estate law, community associations, personal injury, estate planning, employment law, and civil litigation. Our dedicated team is committed to providing effective legal solutions while fostering a collaborative and growth-oriented work environment.

We are seeking a motivated and detail-oriented Collections Assistant to join our collections team. In this role, you will be responsible for opening and managing new collection files, conducting thorough research on debtors and accounts, and maintaining accurate docketing records to ensure timely progression of collection matters.

Responsibilities:

File Opening & Research: Investigate and open new collection files by researching debtor information, locating assets, reviewing account histories, and compiling relevant documentation to support the collection process.
Docketing: Maintain and manage the docketing system, ensuring all deadlines, hearings, filings, and critical dates are accurately entered and calendared in a timely manner.
Records Management: Organize and maintain collection files – both physical and electronic – ensuring all documentation is complete, current, and properly filed.
Correspondence: Draft and send standard collection notices, demand letters, and other correspondence in accordance with firm procedures and applicable legal requirements.
Database Management: Enter and update account information in case management and collections software, maintaining an accurate and organized system.
Status Tracking: Monitor the progress of active collection files and provide timely updates to supervising attorneys and paralegals.
Coordination: Communicate with clients, courts, and third parties as needed to gather information and advance collection matters.
Administrative Support: Provide general administrative support to the collections team, including document scanning, filing, data entry, and other tasks as assigned.

Qualifications:

High school diploma or equivalent required; coursework or experience in legal studies, paralegal studies, or a related field is a plus.
Prior experience in collections, legal support, or administrative work in a law office is preferred.
Strong organizational skills and meticulous attention to detail, particularly for docketing and records management.
Ability to manage multiple tasks simultaneously and meet deadlines in a fast-paced environment.
Effective written and verbal communication skills for interacting with clients, attorneys, and outside parties.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and the ability to learn case management software.
Basic understanding of legal procedures and terminology is advantageous.
Ability to work both independently and collaboratively within a team environment.
Professionalism, discretion, and the ability to handle sensitive and confidential information.
