Full Job Description

Role Description

This is a fully remote independent contractor position beginning at approximately 10–15 hours per week, with opportunities for additional hours as the practice continues to grow.

The Operations Coordinator serves as the administrative backbone of our practice, managing client communications, insurance workflows, scheduling, and operational tasks that keep our practice running smoothly.

This is not an entry-level virtual assistant position. We're looking for someone who has previous experience working in a healthcare or therapy practice and is already comfortable using SimplePractice with minimal training.

Primary Responsibilities

Verify insurance benefits by contacting insurance companies
Translate insurance benefits into accurate, easy-to-understand cost estimates for clients
Communicate professionally with prospective and current clients by email and phone
Schedule consultations, evaluations, and therapy appointments in SimplePractice
Manage client intake and onboarding
Track prior authorizations and insurance requirements
Follow up on insurance claim denials and payment issues
Coordinate referrals, including Veterans Affairs Community Care referrals
Maintain accurate documentation within SimplePractice
Assist with billing-related administrative tasks
Communicate with physicians and referral sources as needed
Help improve office workflows and standard operating procedures
Work collaboratively with our clinical team while independently managing assigned responsibilities

Required Qualifications

Recent hands-on experience using SimplePractice is required
Experience working in a healthcare, therapy, behavioral health, or medical office
Experience verifying insurance benefits and explaining deductibles, copays, coinsurance, and out-of-pocket costs
Excellent written and verbal communication skills
Strong attention to detail and organizational skills
Ability to prioritize multiple tasks while meeting deadlines
Comfortable learning and using technology, including AI tools such as ChatGPT, to improve efficiency
Ability to work independently in a fully remote environment
High level of professionalism, reliability, and personal accountability

Preferred Qualifications

Experience with speech therapy, occupational therapy, physical therapy, behavioral health, or other outpatient medical practices
Experience with insurance billing and claim follow-up
Familiarity with prior authorizations
Experience working with Veterans Affairs Community Care referrals
Experience with Google Workspace, Zoom, Airtable, or similar practice management tools

Compensation

$21–25 per hour, based on experience
Approximately 13–18 hours per week to start
Flexible scheduling
Fully remote independent contractor position
Opportunity for additional hours as the practice continues to grow
Performance review after 90 days, with the opportunity for increased responsibilities and compensation based on performance
