Position Overview
Mya Kai Creative is seeking a highly organized, detail-oriented, and proactive Project Manager to oversee the day-to-day execution of creative projects across the agency.
This role is responsible for managing project timelines, coordinating internal teams, tracking deliverables, maintaining project schedules, and ensuring work moves efficiently from kickoff through final delivery. The Project Manager serves as the operational hub between Account Managers, the creative team, production partners, and clients, ensuring every project stays organized, on schedule, and within scope.
While this position includes client communication, it is primarily focused on project coordination through email, project management platforms, status updates, scheduling, and production oversight. The Account Manager remains the primary strategic relationship owner for client accounts.

Key Responsibilities
Project Management & Delivery
- Manage multiple creative projects simultaneously from kickoff through final delivery.
- Build and maintain project schedules, timelines, milestones, and production calendars.
- Create, assign, and manage tasks within Asana.
- Ensure projects remain on schedule, within scope, and aligned with agency priorities.
- Monitor deadlines daily and proactively identify potential risks or delays.
- Coordinate project workflows across multiple departments.
- Maintain visibility into every active project and communicate progress to leadership.
Creative Team Coordination
- Coordinate work between designers, copywriters, photographers, videographers, web developers, and production partners.
- Ensure creative briefs contain complete project information before work begins.
- Schedule internal creative reviews and production meetings.
- Prioritize projects based on deadlines, agency workload, and client needs.
- Assist leadership with resource planning and project scheduling.
- Remove roadblocks that prevent efficient project execution.
Client Communication
- Serve as the day-to-day project contact for assigned clients regarding timelines, deliverables, approvals, and scheduling.
- Communicate project updates primarily through email and project status reports.
- Coordinate client approvals and gather feedback for the creative team.
- Schedule meetings and presentations with clients when needed.
- Escalate strategic conversations or complex client issues to the Account Manager or Creative Director.
- Maintain a professional, responsive, and organized client experience throughout every project.
Production & Quality Assurance
- Review project deliverables for completeness prior to client delivery.
- Coordinate print production, digital launches, website deployments, and vendor timelines.
- Manage project approval workflows from concept through final delivery.
- Ensure files are properly organized, archived, and delivered in the correct formats.
- Maintain agency quality standards throughout the production process.
Workflow & Process Management
- Maintain accurate project documentation within Asana, Dropbox, and agency systems.
- Track project status, milestones, approvals, and deliverables.
- Monitor project scope and notify leadership of potential scope changes.
- Help improve project management processes and workflow efficiency.
- Support agency operations by ensuring project information remains accurate and accessible.
Qualifications
- Bachelor's degree in Marketing, Communications, Business, Project Management, Design, or a related field preferred.
- 3–5 years of project management experience within a creative agency, marketing department, or similar environment.
- Strong understanding of branding, creative production, marketing, digital media, and print production workflows.
- Exceptional organizational and time management skills.
- Experience managing multiple projects simultaneously.
- Excellent written communication skills with the ability to provide clear and professional client updates.
- Strong attention to detail and problem-solving abilities.
- Comfortable working in a fast-paced, deadline-driven environment.
- Experience with Asana required.
- Experience with Monday.com, ClickUp, or similar project management software is a plus.
- Proficiency in Google Workspace and Microsoft Office.
