As we continue to grow, we are adding a new position to our team of Purchasing Agent and Inventory Analyst.
Job Overview:
As a Purchasing Agent and Inventory Analyst, you will play a crucial role in ensuring the efficient processing of RFQs and purchasing of multiple components across a diverse supply base. Additionally, you will monitor and maintain inventory levels based on historic usage and anticipated trends to ensure inventory is available. Your attention to detail, ability to analyze data, organizational skills, and ability to work collaboratively with team members are essential to the success of our operations. This is not a remote position. This is an on-site position located in Piney Flats, TN.
Reporting to the Supply Chain & Logistics Supervisor, you will be working in a fast-paced and challenging environment to evaluate custom fabricated spare parts, and machine orders. You will confirm purchasing with engineering departments, negotiate pricing and delivery times with vendors and finalize purchases by drafting and sending purchase orders to those suppliers/vendors. You will be responsible for tracking and following up with expected delivery deadlines for purchased goods with suppliers/vendors.
Key Responsibilities:
- Work with our machine and spare parts teams to accurately process purchase orders in a timely and effective manner based on delivery targets, order quantities, and manufacturing deadlines.
- Work with vendors to obtain best quotes, payment terms and delivery timelines available. Check and review technical vendor quotes for accuracy. Negotiate pricing at the direction of the Operations Manager.
- Monitor job status for applicable vendor purchase orders- shipment timelines and updates status, quality issues, and order discrepancies with suppliers. Take action to resolve issues in coordination with direct supervisor and Operations Manager.
- Assist team when necessary in estimating, quoting, shipping, and purchasing processes. Respond to inquiries from other departments on job status and due date commitments.
- Demonstrate continued improvement to eliminate errors – identify areas for improvement and take action to correct and set new standards.
- Seek and develop relationships with suppliers to support company goals.
- Assist in maintaining correct information in ERP system – vendor/supplier, part numbers and descriptions, warehouse location and quantities.
- Set and monitor minimum and re-order inventory levels in ERP system. Run monthly or bi-monthly inventory reports on regularly used items and purchase identified parts.
- Communicate with inter-departmental teams as needed to support customer requirements.
- Participate in annual and cycle inventory physical counts.
- Perform additional duties and projects as requested by management
- Adhere to safety guidelines and maintain a clean and organized work area.
- Must have Purchasing Agent/Buyer experience.
Minimum Requirements:
- High School Diploma or equivalent and minimum 10 years of direct applicable experience in a purchasing role required. Alternatively, an associate’s degree in a business field with 5 years of experience. Bachelor’s degree a plus.
- Must have 3+ years experience as a Buyer/Purchasing Agent.
- Good computer skills, including 5 years of experience in Microsoft Office (Excel, Word, Teams)
- Ability to work independently and prioritize multiple tasks effectively.
- Ability to create/maintain spreadsheets and other documents to improve efficiency and communication.
- 3 years of ERP System experience required. Experience with E2 (JobBOSS2) a plus.
- Occasional physical requirements, including the ability to lift and move up to 40 pounds, stand for extended periods, sit, walk, bend, kneel, climb, balance, and safely operate warehouse equipment including overhead cranes, forklift and pallet jack to transport material throughout the facility.
- Strong attention to detail, data analysis, and organizational skills.
- Excellent communication and teamwork skills.
Preferred Qualifications:
- Ability to read and identify components on mechanical drawings.
- Quality control experience, including use of measuring tools and visual inspection methods.
- Knowledge of inventory management best practices.
- Familiarity with safety regulations and procedures in a warehouse setting.
