Full Job Description

The Construction Operations Coordinator provides administrative and operational support to our executive team and Project Manager by maintaining project documentation, coordinating purchase order administration, organizing project information, and supporting construction workflows.

This position focuses on organization, documentation, purchasing administration, and data accuracy. It is ideal for someone with experience supporting commercial construction projects who enjoys creating efficient systems and keeping projects organized.

This is not a Project Manager or Accounting position.

Responsibilities Construction Administration

Maintain organized digital project files in Project Management Software and Google Workspace.
Upload and organize contracts, drawings, specifications, permits, RFIs, submittals, approved change orders, progress photos, warranties, as-built drawings, and closeout documents.
Audit project files to ensure required documentation is complete.
Coordinate with the Project Manager to obtain missing documentation.
Maintain project logs and administrative records.

Project Support

Enter and update project schedules in project management software.
Update project milestones and administrative information.
Track documentation deadlines and project deliverables.
Support the Project Manager with administrative coordination.

Purchasing & Purchase Order Administration

Prepare purchase orders from approved requests.
Maintain standardized purchase order numbering.
Enter purchase orders into project management software.
Maintain a centralized Purchase Order Log.
Track purchase orders from issuance through closeout.
Match purchase orders, packing slips, and vendor invoices.
Organize purchasing documentation.
Follow up on outstanding vendor documentation.

Data Management

Ensure project information is accurate and complete.
Help maintain the company's primary project management system.
Improve documentation quality and consistency across all projects.

Process Improvement

Assist with developing standard operating procedures (SOPs).
Create and maintain tracking spreadsheets and workflow tools.
Recommend process improvements that increase efficiency and organization.

Pay: $26.00 - $28.00 per hour
