Large Animal Veterinary Receptionist & Client Care Coordinator

In addition to comprehensive veterinary services, our clinic operates a full-service pharmacy, diagnostic laboratory, embryo transfer division, and a small animal spay and neuter program. Position Summary
This position serves as the primary point of contact for clients and plays a critical role in scheduling farm calls, coordinating veterinarian appointments, supporting pharmacy operations, and assisting clients with products and services that support animal health and production goals. The ideal candidate is professional, dependable, detail-oriented, and comfortable working in a fast-paced agricultural environment.
Key Responsibilities
Client Service & Front Desk
- Greet clients and visitors in a professional and welcoming manner.
- Answer and direct incoming phone calls.
- Assist clients with questions regarding appointments, services, and pharmacy products.
- Process payments, invoices, and client transactions.
- Maintain accurate client and patient records.
Scheduling & Coordination
- Schedule and coordinate veterinary appointments, farm calls, herd visits, and emergency services.
- Communicate appointment details to veterinarians and support staff.
- Confirm appointments and follow up with clients as needed.
- Manage daily schedules to maximize efficiency and client service.
- Coordinate prescription refill requests and client notifications.
· Coordinate health certifications and facilitate compliance requirements for interstate transportation.
· Oversee scheduling, onboarding, and coordination of student externs and VFDs
Pharmacy & Inventory Support
- Assist with prescription processing under veterinary supervision.
- Prepare medications and supplies for client pickup or delivery.
- Maintain inventory levels and assist with ordering products.
- Ensure accurate documentation and compliance with clinic protocols.
- Organize and stock pharmacy and retail areas.
Sales & Client Relations
- Educate clients about veterinary services, herd health programs
- Promote clinic products and services that support animal health and productivity.
- Build strong relationships with producers, ranchers, and animal owners.
- Support marketing initiatives, seasonal promotions, and client outreach efforts.
Qualifications
- High school diploma or equivalent required.
- Previous experience in veterinary medicine, agriculture, animal health, medical reception, pharmacy, customer service, or sales preferred.
- Knowledge of livestock or agricultural operations is highly desirable.
- Strong communication and organizational skills.
- Ability to multitask and prioritize in a fast-paced environment.
- Proficiency with computers, scheduling software, and basic office applications.
- Professional, dependable, and team-oriented attitude.
Preferred Experience
- Large animal veterinary practice experience.
- Customer service and sales experience.
- pharmacy support experience.
Physical Requirements
- Ability to sit, stand, walk, and perform administrative duties throughout the workday.
- Ability to lift up to 30 pounds occasionally.

Compensation
$25.00-$30.00 per hour, depending on experience and qualifications.
