Pay Range
$13.00 – $15.00 per hour (based on experience)

Contract Assignment / Full Time / Temporary

We are seeking a detail-oriented and reliable Temporary Contract Clerical Assistant to assist with document preparation and scanning for an upcoming audit. This short-term position involves organizing, labeling, and digitizing paper files to ensure accuracy and accessibility of records.

Key Responsibilities:

· Sort, organize, and prepare paper documents for scanning.

· Remove staples, paper clips, and bindings to ensure smooth document feeding.

· Scan documents using office scanning equipment or software.

· Verify the quality, completeness, and legibility of scanned images.

· Accurately name and file digital copies in the appropriate electronic folders.

· Maintain confidentiality and handle sensitive information securely.

· Perform other basic clerical duties as assigned, such as filing, copying, or data entry.

ESSENTIAL JOB FUNCTIONS

Prepare paper documents for scanning (remove staples, sort files, label folders).
Operate office scanners and ensure all files are accurately digitized.
Review scanned documents for quality, completeness, and legibility.
Save and organize digital files in the proper folders or system.
Maintain confidentiality of all records and sensitive information.
Assist with other basic office duties as needed (filing, data entry, copying).

QUALIFICATIONS

Education

High school diploma or GED required; bachelor’s degree in communications, public administration, business, finance, or a related field preferred.

Experience

· Prior office or clerical experience preferred.

· Familiarity with Texas local government operations and regulations is a plus.

Knowledge, Skills, and Abilities

· Strong written and verbal communication skills, with the ability to communicate to a team regarding the needs of the city.

· Knowledge of basic computer and ability to learn financial software as needed.

· Ability to work independently and collaboratively in a small team environment.

· High attention to detail, problem-solving skills, and commitment to confidentiality for sensitive financial, HR, and public information.

· Reliable, punctual, and able to maintain confidentiality.

Certifications and Licenses:

Valid Texas driver’s license with a clean driving record.

Ability to obtain duty relevant certifications

Background check required due to handling of financial and personnel records.

Physical Requirements:

Ability to sit for extended periods, with occasional standing, walking, and lifting up to 25 pounds (e.g., event materials or file boxes).

Manual dexterity for operating computers, phones, and office equipment.

Visual acuity for reading documents, working on screens, and reviewing detailed financial

Job Types: Full-time, Temporary, Contract

Pay: $13.00 - $15.00 per hour

Expected hours: No more than 40 per week
