PRIMARY FUNCTION
Under the direct supervision of the Chief Culture Officer, the Volunteer Engagement Specialist is responsible for leading and executing all internal and external strategies related to the recruitment, screening, training, and engagement of volunteers for the Boys & Girls Clubs of Martin County. This role plays a key part in ensuring a positive and impactful volunteer experience by coordinating program activities, fostering strong relationships with volunteers, and collaborating closely with staff, community partners, and stakeholders to support the organization’s mission.
KEY ROLES (Essential Job Responsibilities)
- Create and implement a comprehensive strategy to develop and evolve BGCMC’s volunteer and partner engagement program, positioning volunteerism as a key tool to connect individuals and organizations with our mission and members.
- Identify, recruit, and cultivate volunteers and community/corporate partners that align with BGCMC’s strategic focus areas, including but not limited to workforce readiness, culinary arts, and post-secondary preparation programs.
- Lead the recruitment and onboarding efforts for all volunteers and partners, including background screenings, reference checks, compliance with organizational policies, orientation, and training to ensure alignment with organization values and safety standards.
- Provide training and support to staff members on effective volunteer and partner management to enhance collaboration and support.
- Monitor and evaluate volunteer and partner experiences through regular feedback surveys, participation tracking, and performance audits to improve retention, satisfaction, and program outcomes.
- Maintain accurate and compliant files for all volunteers, partners, and board members, ensuring timely data entry and monthly reporting for audits and organizational use.
- Lead the planning and implementation of special events (such as a community volunteer fair) and Club-wide activities to increase awareness of existing and new volunteer programs and to recognize volunteers.
- Create and present tailored new donor and volunteer engagement packages that support corporate funding and sponsorship opportunities.
- Create and implement a strategy for developing and evolving the volunteer program at BGCMC, creating a program that leverages volunteerism as the most effective engagement tool to familiarize an individual/group with our mission and members.
- Work with Program staff to identify and develop unique volunteer opportunities and special projects for community & corporate partners.
- Partner with the Executive Administrator to ensure all BGCMC Board members are in compliance with background checks.
- Create and implement strategic planning by identifying opportunities for volunteer participation, then recruiting, selecting and training volunteers to assist in implementing program activities.
- Design, maintain, and distribute up-to-date volunteer resources including position descriptions, applications, handbooks, web content, and volunteer communication platforms.
- Effectively communicate between clubs, staff and volunteers, ensuring all parties are clear of expectations, responsibilities, and day-by-day participation.
- Assists with administrative and operational systems to support volunteer programs. This includes transition to new volunteer systems as assigned by the organization.
- Develop collaborative relationships with other organizations supporting volunteerism or serving as potential sources for volunteers and partners.
- Develop strategic partnerships with schools, universities, community groups, and corporations to recruit skilled volunteers and align partnerships with program goals.
- Disseminate up-to-date lists of approved volunteers, partners, board members, vendors and community service workers to all staff.
- Partner with the Resource Development team to ensure volunteer staffing for events and coordinate internal communications to ensure all volunteers and staff are well-prepared.
- Conducts comprehensive monthly audit reports to monitor background screening eligibility.
- Represents the organization at community events to build partnerships, increase visibility, and recruit volunteers.
- Designs and distributes monthly volunteer newsletters to inform, recognize, and engage volunteers, ensuring clear and consistent communication.
- Creates and schedules social media content to highlight volunteer stories, promote volunteer recruitment, and expand community outreach.
- Develop and implement regular orientation of volunteers. Provide training to appropriate staff members on effective volunteer management.
- Conduct evaluations of volunteer activities and participation, refining selection and training activities to ensure a high level of satisfaction amongst volunteers and staff.
- Responsible for ensuring that all volunteer and partner hours are reported monthly and submitted for audits/reporting as requested.
- Coordinates onboarding for new volunteers, including scheduling first-day logistics, introducing them to club leaders and staff, assigning a site supervisor, and ensuring a smooth transition into program activities.
- Supports donor stewardship by processing first-time gifts, sending personalized acknowledgments, and fostering ongoing donor engagement.
- Works with the Director of Club Operations and Experiences to plan, coordinate, and execute the Shoes from Susan initiative. Responsible for tracking data, receipts, and other administrative tasks as assigned.
- Assist with various AmeriCorps program responsibilities including, but not limited to, recruitment, onboarding, and administrative tasks.
- Perform other duties as assigned.
RELATIONSHIPS:
Internal: Maintain close daily contact with the Chief Culture Officer, Human Resources team, Resource Development team, Compliance team, Club staff, volunteers, and partners to receive and provide information.
External: Serves as a welcoming and main point of contact for visitors, donors, volunteers, partners, and external community groups, ensuring a professional and positive experience that reflects the mission and values of BGCMC.
SKILLS/KNOWLEDGE REQUIRED:
- Associate's Degree or higher.
- Computer and Internet proficient: Microsoft Windows, Office (Word, Access, Excel, Outlook, PowerPoint), Web navigation.
- Strong communication skills, both verbal and written.
- Strong organizational and time management skills with strong attention to detail.
- Positive, Service orientated attitude with the ability to work both independently and as part of a team.
- Ability to handle confidential information with discretion.
- Ability to manage multiple tasks and to develop solutions to problems with limited supervision.
- Ability to establish and maintain effective working relationships with Club staff, subordinates, Board members, community groups and other related agencies.

Schedule: Mon-Friday with hours falling between 8:30 am and 5:30 pm. Hours are dependent upon the situation of the day or need of the department. Occasional evenings and weekends, required.
Salary range - $50K-$55K annually based on experience.
