Position: Event Director
Location: College Grove, TN_

Description
The Grove, located just outside Nashville and minutes from historic Franklin, is a 1,100-acre gated community offering a distinctive private club lifestyle dedicated to providing exceptional member services and the most comprehensive amenity and recreational offerings in the region. We are currently seeking an accomplished, self-motivated, and detail-oriented professional to join the team.

This position will be responsible for directing, coordinating, and administering events at The Grove Club.

Essential Functions

Establishes and maintains professional relationships with members and coworkers.
Always displays the highest standards of service, greeting and welcoming members in a polite, gracious, and enthusiastic manner.
Demonstrates professional conduct and proper etiquette.
Responds quickly and positively to members’ questions, requests, problems, and complaints and resolves them effectively and consistently.
Maintains overall knowledge of the club and provides proactive assistance to customers when appropriate using clear and concise conversation.
Maintains a working knowledge of the complex needs of a wide variety of events.
Collaborates with members to understand their event needs and preferences; develops event concepts and themes in line with identified preferences and objectives.
Creates detailed event proposals, including budget, timelines, and scope of services.
Coordinates with various internal departments, such as Food & Beverage, Housekeeping, and Facilities, to ensure seamless execution of events; complies with all departmental policies and regulations while in collaboration.
Secures and manages external vendors, including decorators, entertainment, and audiovisual services, etc. to enhance event experiences.
Builds and maintains strong relationships with members, internal departments, and outside vendors.
Acts as the primary point of contact for event inquiries and provides exceptional customer service throughout the planning process.
Attends meetings and walk-throughs to discuss event details, logistics, and arrangements.
Responds promptly to feedback and requests, making necessary adjustments to ensure member satisfaction.
Creates and manages event budgets, tracking expenses and ensuring adherence to financial guidelines.
Negotiates with vendors to obtain competitive pricing and favorable terms.
Prepares and presents financial reports to departmental management team, outlining event costs and revenues; after approval, monitors and takes corrective action as necessary to help assure that budget goals are attained.
Oversees the on-site execution of events to ensure they run smoothly and meet the established standards of quality and service.
Handles any unexpected challenges or issues during events, making quick and effective decisions to resolve them.
Collaborates with the marketing department to promote upcoming events through various channels, including social media, newsletters, and website updates.
Identifies opportunities to expand the club's event portfolio.
Attends management and staff meetings.
Responsible for maintaining confidentiality of all member information.
Follows and enforces compliance with applicable health, safety, food handling, and hygiene codes and standards.
Performs other related duties as assigned.

Skills and Experience:

High school diploma or GED
Bachelor's degree in Event Management, Hospitality, or a related field (preferred)
Three (3) to five (5) years of proven experience in event planning and management, preferably in a private club, luxury resort, or hospitality environment
Exceptional organizational and time management abilities to handle multiple events simultaneously
Excellent communication and interpersonal skills to engage with members, vendors, and internal stakeholders
Creative and innovative mindset, with the ability to conceptualize and execute unique event ideas
Proficiency in event management software and MS Office Suite
Understanding of financial management and budgeting principles
Flexibility to work irregular hours, including evenings, weekends, and holidays, to accommodate event schedules
Must be able to stand, sit, or walk for extended periods of time
