Manhattan Office

Assistant to work alongside the

Managing Director

and

Assistant Manager of Sales

& Leasing
in our Manhattan office.

Individual will be hands on in executive support and in a variety of day-to-day
management activities working with the Office Manager and other professionals within
the company. Qualified candidates must be driven, focused, take initiative, and
demonstrate an enthusiastic attitude. Must be organized, goal-oriented, and a team
player with excellent communication skills.

Responsibilities Include:

Administrative:

Administrative / Organizational Duties

Oversee Outlook Calendar: Schedule / Confirm appointments

Coordinating with brokers / colleagues on a variety of meetings and events

Participating in the updating of company databases / contact lists

Answer & process incoming calls; Maintain call Log; Arrange conference calls

Outgoing calls for specific assignments

Prepare & send any networking, marketing &/or informational mailers

General typing & email correspondence

Handling Copies, Faxes, Scanning, & Filing

Schedule agent pipeline meetings and monthly territory cross selling meetings

Prepare agent performance materials for pipeline meetings and implement

follow up actions as required

Ordering &/or making restaurant reservations, handling any travel, or gift

purchases, if needed

Desk & Personal Organization

Real Estate:

Assist with Social Media / Marketing / Recruiting efforts

Undertake market research and assist with creating presentation materials

Gathering of statistics / data (for input into growing database)

Help coordinate marketing efforts to territory including email/fax blasts,

postcards, direct mailers, signs, etc.

Coordinate/purchase tickets for Real Estate conferences / meetings that broker

must attend

Compile and update data for the weekly, monthly, and quarterly management

reports

MK Sales System/Website review to ensure that information is complete and

accurate

Provide assistance on special projects as needed

Job Capabilities / Requirements:

Superior

Organizational Skills / Detail Oriented

Strong Written, Analytical & Oral Communication skills

High level skills in Excel, Word, PowerPoint & Outlook

Self-Motivated / Proactive / Ability to work Independently on fast paced team

Multi-task in highly demanding atmosphere

Real Estate interest a plus

Hours:

8:30am-5:00pm; Monday

Friday

Compensation & Benefits:

$40,000 annually

Medical & Dental ; if elected, employees contribute 32.5% (Medical) & 35%

(Dental) towards the cost directly from payroll
