Training/Management

Trains Agency departments, including new Project Managers, on digital and print process

Authors performance evaluations for direct reports and meets with them regularly to review strengths as well as areas for improvement, career paths, and skill set enhancements

Reacts with diplomacy and tact in dealing with complex or sensitive situations

Demonstrates significant knowledge of Agency procedures, issues faced, and contributes to problem resolution for both digital and print projects

Is able to lead the department in the Director of Operations absence

Process/Workflow

Lead and manage complex digital projects from initiation to launch

Demonstrates significant understanding of the scope for all projects assigned to their teams.

Creates and manages all program level scope, timing, and budgets for their brands

Reviews and approves all project documentation authored by their teams, such as scopes of work, timelines, budgets, change orders, and ensures completion of all client requirements/changes or agreements

Works closely with members of the team across multiple departments to define deliverables

Has clear vision of next steps and follows through to ensure they’re met

Prioritizes projects to manage their teams workload effectively

Communicates resource needs to the appropriate department heads to ensure proper resources are assigned to brands and projects, (full-time or freelance)

Responsible for the overall quality and success of all integrated campaigns on their brands, ensuring each project comes in on time, within budget and meets the agreed upon scope

Actively participates in (or runs when necessary) both internal and client status meetings, delivering instructions in a clear and concise manner

Works collaboratively with all team members and delegates responsibilities as needed to complete projects and meet Client expectations

Works with production staff throughout the course of a project to ensure all technical specifications are obtained and documented, ultimately ensures the feasibility of the finished product

Acts as the primary escalation point for all challenges encountered by the PM team and formulates effective solutions when problems arise

Maintains daily contact with Director of Operations to keep them informed on progress of all jobs and make them aware of conflicts as they arise

Helps lead implementation of new workflow and process procedures

Partners with other Associate PM Directors to share solutions and efficiencies to ensure all brands benefit from their implementation

Client/Vendor Relationships

Develops and leads client presentations for their respective brands, related to budgets, timelines and scope.

Demonstrates significant knowledge of marketing in the health and wellness space, contributes to client brainstorms, brand strategy and tactical plans

Escalation point for Account & Client teams for all project related challenges

Represents department at internal meetings across Publicis agencies

Liason to the Agency LCS (Low Cost Solution) partners.

Collaborates with team to train Clients on Agency process during Agency Days or other Client meetings

Identifies vendors to work on complex digital projects, and works closely with them to ensure all deliverables/needs are met

Uses negotiating experience in helping to procure vendors and contracts on digital projects

Financial

Works with account management to ensure proper forecasting by developing budgets and project scopes of work and identifying issues that impact delivering a project

Understands what a project should cost and owns the process of estimating and managing that estimate should the project change and additional costs be incurred

Raises concerns when there are changes in the scope of work and suggests when to revise estimates to better manage changes to the scope

Partners with the Finance department to ensure that all financial documentation is complete and up to date

Qualifications

Bachelor’s Degree

6+ years of Project Management (including digital), Pharma Agency experience preferred

Account experience (preferred)

Knowledge of print, online, video, mobile, RM, OOH and convention production

Strong ability to manage people effectively as well as manage workflow—lead by example

Solid project management, analyzing, and problem solving skills

Detail oriented, well organized

Flexible

Self confident/decisive

Strong fact finding skills/good judgment

Collaborative team player/positive influence on teams and individuals/team builder

Experience in conducting meetings

Ability to manage multiple priorities and meet deadlines—exceptional time management skills

Excellent oral and written communication and listening skills

Full knowledge of Microsoft Project, Visio, Office, Adobe Acrobat Professional, Bug Tracking Systems, & Online Project Management Tools

Working knowledge of Adobe Flash, ActionScript, HTML, CSS & JavaScript

Familiarity with Content Management Systems (CMS)
