Position Summary

The IT Asset Management Analyst will be primarily responsible for ensuring the continuous compliance of all company IT assets and from all perspectives; this includes, but may not be limited to: assisting the IT Asset Management Inventory Coordinator with tracking the physical receipt and deployment or redeployment of both new and existing hardware/software assets, monitoring transactional activity as it relates to IT assets being moved/transferred, reassigned and/or decommissioned and properly disposed of in the IT Asset Management database. This role will also have an active level of involvement in ensuring the continual enforcement of all IT Asset Management processes/procedures and governing IT Asset Management policies.

The Details

The IT Asset Management Analyst is a dynamic and a very cross-functional role that will be responsible for helping to drive continual compliance of all company IT assets, including but not limited to the tracking/management of these IT assets, asset reclamation support, ensuring that IT Asset Management processes/procedures are consistently being followed and that governing IT Asset Management policies are adhered to by all colleagues throughout the company. This position requires the candidate to have the extensive knowledge, experience, skills, and aptitude to excel in each of these functions.

* Work cross-functionally with various teams and groups throughout the IT organization, including (but not limited to): Project Management, IT Operational Support (e.g., Help Desk), Information Security, Privacy Office, as well as Finance and Accounting to report on the location, status and disposition of all company IT assets, status and progress reporting for the remediation of non-compliant devices, etc.
* Attend and participate in team meetings and discussions. Contribute to discussions and provide feedback on processes, operational issues, etc.
* In collaboration with the IT Asset Manager, this role will play a key role in redefining and developing a well formalized and well-structured IT Asset Management strategy based on a situational awareness of the details of the current state and desired future state of the IT Asset Management program.
* Create and manage proactive and effective measurement tracking systems to track and report on the remediation efforts for non-compliant IT assets, as well as to identify and track trends with regards to those non-compliances.
* Work exceptionally well with existing groups and team members.
* Must be able to adopt existing processes/procedures, as well as be sufficiently agile in order to be able to make changes and additional adjustments to those existing processes/procedures.
* Coordinate warranty repairs directly with the appropriate vendors for all warranty covered equipment; also assist in facilitating and coordinating proper asset decommissioning and disposal (internally and externally).
* Actively monitor, manage, research and respond to requests and general support related inquires that get filtered through the IT Asset Management group; same expectation and requirement applies to tickets from the Help Desk ticketing system.
* Conduct regular inventory audits of primary stock items, i.e., workstation devices, also conduct biweekly physical inventory counts for all parts/peripheral items. Ensure that any inventory discrepancies are properly documented, researched and reconciled (in a timely manner), also make sure that the inventory records are kept current and are available for review in real-time through the use of the IT Asset Management database.
* Attend and participate in team meetings and discussions. Contribute to discussions and provide feedback on processes, operational issues, etc.

Working conditions/physical demands

This position will be based in an office environment and will require physical demands consistent with other office professionals. In addition, there will be occasional travel demands (10-20% of time).

Required Experience

Education/credentials

* Minimum of 5 years general clerical experience.
* Minimum of 3 years of experience with inventory management systems.
* Additional educational/certification credentials such as ITIL, ITAM – CHAMP and CSAM certifications are highly preferred and are a plus for this position.

Job-related experience

The ideal candidate for this opportunity will possess the following skills and experiences:

* Operating knowledge of and experience with network/server/telecom and personal computing equipment, as well as all of the associated peripherals.
* Operating knowledge of inventory management systems and processes for effectively managing inventory levels, as well as the replenishment of inventories as needed.
